HR Operations Specialist (Tokyo - Hybrid)

Substance is excited to announce an opening for an HR Operations Specialist (Tokyo - Hybrid). This dynamic role will allow you to partner with a leading multinational organization in the pharmaceutical and healthcare sector. As an HR Operations Specialist, you will manage key HR functions, streamline operational processes, and contribute to a supportive workplace culture while enjoying the flexibility of a hybrid work environment.

Requirements

Key Responsibilities:

  • Facilitate the onboarding process for new employees, ensuring an exceptional start to their journey.
  • Maintain and manage employee records within HR information systems, ensuring data integrity and compliance with legal requirements.
  • Assist in payroll, benefits administration, and compliance activities to adhere to company policies and local regulations.
  • Support the administration of Employee Life Cycle (ELC) tasks for the Tokyo office in accordance with established SLAs.
  • Proactively address HR operational issues and assist in resolving them efficiently.
  • Promote employee engagement programs by communicating policies and key initiatives effectively across the organization.
  • Collaborate on talent management projects, including performance reviews and development initiatives.
  • Enhance HR processes to support efficiency and drive continuous improvements.

Minimum Qualifications:

  • Minimum of 3 years of HR operations or administration experience.
  • In-depth knowledge of HR practices and employment legislation in Japan.
  • Proficient organizational and multitasking capabilities with a strong attention to detail.
  • Fluency in Japanese and English, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.

Preferred Qualifications:

  • Experience with HRIS or payroll software.
  • Familiarity with HR tools and systems like Workday.
  • Knowledge of employee benefits and compensation frameworks.
  • A proactive mindset with a focus on problem-solving and process enhancement.
