HR Operations Specialist

Substance is partnering with a client in the multinational pharmaceutical and healthcare companies to find an experienced HR Operations Specialist based in Japan. In this role, you will be responsible for managing various HR operational processes and ensuring a smooth and effective HR function across the organization. You will work closely with HR managers and department heads to provide top-notch HR support and enhance employee experience.

Requirements

Key Responsibilities:

  • Oversee the onboarding process for new hires, ensuring a welcoming and efficient transition into the company.
  • Manage employee records and HR databases, ensuring information is accurate, up-to-date, and compliant with local regulations.
  • Assist in payroll processing, benefits administration, and compliance reporting, ensuring adherence to internal policies and legal requirements.
  • Lead the administration of Employee Life Cycle (ELC) & Benefit task for Japan working to the respective SLAs.
  • Address operational issues following through to resolutions in an effective and timely manner.
  • Facilitate employee engagement initiatives and communicate key policies and procedures to staff effectively.
  • Support talent management processes, including performance reviews, promotions, and employee development programs.
  • Implement and improve HR processes and systems to maximize operational efficiency and effectiveness.

Minimum Qualifications:

  • 3 years of experience in HR operations, administration, or a related field.
  • Strong understanding of HR processes and employment legislation.
  • Excellent organizational and multitasking skills, with a keen attention to detail.
  • Strong verbal and written communication skills in both Japanese and English.
  • Ability to handle confidential information with integrity.

Preferred Qualifications:

  • Experience with HRIS systems and payroll software.
  • Familiar with HR / Human Capital Management related tools and systems e.g. workday
  • Understanding of employee benefits and compensation strategies.
  • A proactive approach to problem-solving and process improvements.
