The Workplace Manager ensures smooth daily operations and workplace excellence for the AnyMind Thailand office at The Emporium, while also monitoring the Richmond Studio to ensure it is safe, functional, and ready for occasional use. This role is also responsible for supporting and managing workspace arrangements for internal and external events, including studio-related arrangements when needed.

Key functions include facilities management, space planning, IT vendor coordination, procurement, budget management, and leading the admin/housekeeping team to maintain a high-quality workplace experience.multiple tasks, from handling correspondence to supporting HR operations. You will also take ownership of office resources, inventory, and facilities management, while coordinating office activities to enhance productivity and workplace culture.

 

What You’ll Do

1. Office Management (Primary – The Emporium)

  • Manage daily operations, cleanliness, safety, and maintenance of the main office.
  • Coordinate with The Emporium building management for repairs, facility issues, access cards, and security.
  • Oversee meeting rooms, common areas, pantry, and storage spaces.
  • Monitor office air-conditioning, electricity, and general facilities performance.

 

2. Studio Oversight (Secondary – Richmond Sukhumvit 26)

  • Monitor the overall condition and readiness of the studio.
  • Visit approximately once per month or as needed.
  • Ensure basic facilities, IT connections, safety, and layout are in usable condition.
  • Coordinate with building management or vendors for any required fixes.
  • Support studio setup as needed for special events or content production.

 

3. Event Space Coordination (Internal & External Events)

  • Coordinate workspace arrangements for:
  • Internal company events (townhalls, training, workshops).
  • External events (client events, partner shoots, influencer gatherings, media events).
  • Liaise with vendors for event setup (furniture rental, AV, lighting, décor).
  • Ensure compliance with building protocols and safety guidelines.
  • Manage teardown and restoration of space after events.

 

4. IT Coordination (Office & Studio)

  • Understand basic IT systems (network, Wi-Fi, LAN, printers, camera systems).
  • Coordinate with IT outsourced provider for daily troubleshooting and maintenance.
  • Support IT setup for new hires and event-related technical requirements.

 

5. Procurement & Budget

  • Procure office supplies, equipment, pantry items, furniture, and event-related items.
  • Ensure compliance with company procurement policy (RFQ, POs, vendor comparison).
  • Track operational budget and propose cost-saving improvements.

 

6. Team Leadership

  • Supervise admin and housekeeping teams.
  • Assign daily tasks and ensure service standards are maintained.
  • Conduct performance checks and mentoring.

 

7. Workplace Safety & Compliance

  • Implement health, safety, and emergency preparedness measures.
  • Conduct regular safety inspections at both office and studio.
  • Maintain documents and communicate safety guidelines to staff.

 

Who You Are

  • Bachelor’s Degree (or equivalent) in any field preferred.
  • At least 7 years of office administration experience.
  • Strong English language skills.
  • Excellent attention to detail and ability to meet deadlines.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint, etc.).
  • Strong organizational and interpersonal skills with a customer service mindset.
  • High sense of responsibility and proactive problem-solving skills.
