Workplace & Facilities Generalist
TLDR
Manage workplace operations and facilities oversight for Paris and Ghent, ensuring operational efficiency while improving employee experience.
- Oversees the daily operations and employee experience of the Paris & Ghent offices.
- Acts as the main point of contact for employees regarding workplace related matters.
- Coordinates onboarding and offboarding processes in collaboration with HR and IT.
- Manages office supplies, stock levels, deliveries and service providers.
- Ensures meeting rooms, common areas and shared spaces are maintained to a high standard.
- Oversees operational coordination for associated co-working locations, ensuring workspace standards, access management and employee support are maintained.
- Conducts regular visits to co-working locations as required to ensure operational consistency and quality standards.
- Supports internal events and office initiatives in coordination with the EMEA team.
- Uses internal tools (e.g. Jira ticketing or similar systems) to track workplace requests and ensure timely resolution.
- Supports the coordination of building maintenance and repair works with landlords and external vendors in Paris.
- Monitors preventive and corrective maintenance activities to ensure proper functioning of building systems (HVAC, electrical, plumbing, access control, etc.).
- Assists in the modernization and support of building systems, including BMS, smart lighting (LV), and IoT solutions to centralize control and optimize operational efficiency.
- Acts as a local operational contact for facilities related interventions in Paris.
- Supports small renovation works, space adjustments and office improvement initiatives.
- Escalates technical or compliance issues to the Facilities lead when required.
- Ensures service providers meet agreed service levels and performance standards.
- Supports compliance with local health and safety regulations (fire safety, first aid coordination, risk prevention measures).
- Assists in organizing mandatory safety trainings and drills where applicable.
- Ensures workplace standards and internal policies are respected.
- Coordinates incident reporting in partnership with the Facilities lead and relevant departments.
- Maintains documentation related to office operations and compliance activities.
- Contributes to workplace and facilities improvement projects within the Paris office.
- Supports vendor coordination and project tracking for local initiatives.
- Identifies opportunities to improve employee experience, operational efficiency and cost control.
- Ensures workplace standards and internal policies are respected across Paris and co-working locations.
- Supports sustainability and energy efficiency initiatives where applicable.
- Supports tracking of workplace and facilities related expenses in Paris and associated co working spaces.
- Assists in monitoring vendor contracts and service agreements.
- Contributes to budget preparation and cost control processes in collaboration with the EMEA PREWF team.
- Maintains operational records and reporting documentation.
- Reports directly to Stijn.
- Works in close collaboration with the PREWF EMEA team to ensure alignment across Workplace and Facilities activities.
- Coordinates with HR, Finance, IT, Security and external contractors to ensure smooth office operations in Paris.
- 3 to 6 years of experience in Workplace, Office Management or Facilities.
- Experience in a corporate office environment is preferred.
- Basic understanding of technical building systems and facilities coordination.
- Experience with vendor management and service provider coordination.
- Willingness to travel locally to co-working locations as part of the role.
- Good organizational and multitasking skills.
- Proactive, reliable and solution oriented mindset.
- Comfortable working independently while collaborating within a regional team.
- Fluency in English required. French is a strong advantage.
