About the team
Our Warsaw office is home to a growing, cross-functional team of SumUppers who work across engineering, operations, and beyond. Based in the vibrant Hala Koszyki co-working space at Mindspace, the office is a hub for collaboration, and keeping it running smoothly matters. This role sits within our global Facilities and Office Management function, and you'll be the go-to person making sure the day-to-day experience of our Warsaw team is seamless, welcoming, and well-organised. It's a hands-on opportunity to build real operational skills in a fast-moving, international environment.
What you'll do
- Manage the day-to-day running of the Warsaw office, including coordinating with the Mindspace co-working team and handling incoming mail, deliveries, and supplies
- Support the onboarding and offboarding of employees by preparing workspaces, coordinating access, and ensuring a smooth first-day experience
- Organise and coordinate internal office events, team activities, and meetings
- Review and help clean up outdated administrative processes, and support the documentation of new ones
- Act as the first point of contact for office-related queries from local team members and leaders

- Experience in a front desk, hospitality, or office coordination setting, with a strong sense of how to keep things running smoothly.
- Fluency in both Polish and English, with clear and confident communication skills in both languages.
- Ability to manage multiple priorities at once, staying organised and calm when things shift quickly.
- Strong attention to detail and a proactive mindset β spotting what needs doing before being asked.
- Comfort working with a range of stakeholders across different teams and seniority levels.
