Workforce Operations Administrator

TLDR

Support resource planning and talent deployment through data-driven insights while collaborating with various teams to improve workforce management and planning processes.

We’re looking for a proactive and detail-oriented Workforce Management Administrator to join our dynamic team. As a Workforce Management Administrator, you’ll help us plan by reviewing incoming resource requests, assessing whether they’re likely to become active roles, and making smart use of our internal talent pool—especially those currently on the bench. You’ll work closely with People Partners and business leaders, providing clear data, insights, and recommendations that support better decision-making and help us deploy talent effectively across the organisation.

Key Responsibilities

Resource Request Assessment

  • Review and triage all incoming resource requests from business units.
  • Assess the probability of requests converting into approved vacancies based on historical data, business context, and pipeline trends.
  • Liaise with Finance, Talent Acquisition, and People Partners to validate demand and align with workforce plans.

Internal Talent & Bench Management

  • Maintain an up-to-date view of internal talent availability, including employees on the bench, returning from leave, or nearing project completion.
  • Match available talent to open or anticipated roles, supporting redeployment and internal mobility.
  • Collaborate with Talent Development and People Partners to identify skill gaps and upskilling opportunities.

Workforce Planning & Reporting

  • Support the creation and maintenance of workforce plans, headcount trackers, and capacity models.
  • Produce regular reports and dashboards on resource demand, fulfilment rates, bench utilisation, and vacancy conversion.
  • Provide insights and recommendations to inform hiring decisions and workforce strategy.

Operational & Systems Support

  • Ensure accurate data entry and maintenance in workforce planning tools and HR systems.
  • Support system enhancements, testing, and process documentation related to workforce management.
  • Act as a point of contact for queries related to resource planning, internal availability, and scheduling.

Skills & Experience

Essential:

  • Experience 4+ in workforce planning, resource management, or HR operations.
  • Strong Excel and data analysis skills and experience with workforce planning tools (Kantata)

Desirable:

  • Familiarity with internal talent marketplaces or skills-based workforce planning.
  • Change management and operational transformation experience
