Position Summary
The Workday/UKG Change Management Lead will report into the Program Director. This position will play a key role in ensuring project objectives are met on time and budget by developing change management strategies and plans that maximize end-user adoption and usage of the Human Capital Management (HCM), Payroll, Workforce Management (WFM) and minimize resistance. They will focus on the people side of change, and will work in conjunction with other change agents across the hospital, and provide direction to assigned change management resources. They will need to work through and influence many stakeholders in the organization to succeed.
The Change Management Lead will also act as a coach for senior leaders and executives in helping them fulfill their role of change sponsors, and with project Champions representing various departments in helping them fulfill their role of change agents. They will support project teams in integrating change management activities into their project plans and will provide direct support and coaching to front-line managers and supervisors. Finally, as change is constant and not restricted to large scale projects, the Change Management Lead will be responsible for designing change management education on a broad scale to increase the skills, knowledge, and understanding of how change affects individuals and what to expect.
Duties
- Apply evidence-based change management methodologies and ensuing practices to support adoption of the Workday/UKG systems across UHN, to develop the change management strategy and framework and tactical plan;
- Lead the implementation of the change management strategy for the Workday/UKG project based on awareness of specific projects and the groups being impacted by the change;
- Based on the change being proposed, determine the best approach to implement given the hospital and/or department culture and requirements;
- Continue to keep current on change management research to apply new approaches to projects and analyze their impact and success;
- Integrate change management activities into the Workday/UKG project and apply the change management methodologies;
- Assess the change impact analysis, conduct readiness assessments and identify key stakeholders;
- Evaluate change impact results and present findings in a logical and easy-to-understand manner, resulting in a set of actionable and targeted change management plans – including a communication plan, sponsor roadmap, stakeholders assessment, coaching plan, training plan, resistance management plan and post go-live user adoption monitoring and sustainability plan;
- Ensure alignment with Change Management Methodologies and Corporate Communication principles by working closely with Organizational Development/Human Resources in the formulation of particular plans and activities to support project implementation;
- Support the design, development, delivery and management of communications for the Workday/UKG project in alignment with the overall change management strategy;
- Create two-way communication forums and mechanisms to gather stakeholder feedback and input for consideration at all stages of the project e.g. kick-off, design, build, user acceptance testing and go-live, and to assess levels of stakeholder acceptance throughout the project;
- Be an active and visible coach to Workday/UKG project champions, front-line leaders and executives who are change sponsors. From the initial change phases to implementation, assist leaders in their role as change agents and in stakeholder engagement practices;
- Support training efforts by providing input, document requirements and support the design and delivery of training programs;
- Create and manage measurement systems to track adoption, utilization and proficiency of changes initiatives;
- This position will oversee other stakeholders in a number of indirect reporting relationships.
- This role may be required to attend assigned vendor training courses.
- 5-7 years of experience in developing, implementing and leading Change Management plans for large-scale ERP systems implementations in a healthcare/hospital setting is required;
- Undergraduate degree or equivalent combination of experience and education is required;
- An advanced understanding of how people respond to change and the change process;
- Experience and knowledge of change management principles and methodologies;
- Familiarity with project management approaches, tools and phases of the project lifecycle;
- Advanced MS office and other software tool skills required to develop effective presentations, communications and training/learning solutions;
- Advanced training and/or certification in a Change Management methodology is required;
- Workday Human Capital, Payroll and UKG scheduling experience in a healthcare environment is required;
- Exceptional presentation, facilitation and communication skills – both written and verbal;
- Adaptability, flexibility and high degree of resilience;
- Strong work ethic;
- Experience working in large-scale and complex project team environment, with multiple and varied stakeholder groups;

- Other certification (PMP, Lean/Six Sigma Black Belt, ITIL, IIBA) is an asset.
