Inland Fisheries Ireland (IFI) has an opportunity for a Warehouse Administrator to join the Logistics team.
The role will provide support to the Warehouse Officer/Manager for all aspects of the logistics operation based at Castle House on a day-to-day basis. To carry out all aspects of the warehouse and associated logistics functions in line with the requirements of the role and the needs of the organisation.
It is expected that at the end of a training period that the employee will have a comprehensive understanding of all aspects of the warehouse operation and to provide support to colleagues’ and management as required.
In addition to this role the employee will be expected to participate in projects and initiatives being undertaken by the Logistics Department on a need’s basis, and to provide overall general operational support for the Department.
This role reports directly to the Warehouse Officer/Manager and in their absence to the Logistics Manager.

KEY RESPONSIBILITIES
House Keeping
Maintain the hygiene standards of the site (Castle House) on a day-to-day basis in line with management expectations.
Ensure all waste is removed and disposed of daily in an appropriate manner.
Ensure that the warehouse floor is cleaned weekly.
Ensure that all walkways are cleaned and clear and free from debris.
Ensure the yard area is clean and tidy.
Inbound Operation
Carry out all tasks of the inbound operation including the following.
Physical inbounding of all material and put away to designated storage areas.
Systematic input of all inbound material on Integra and WMS.
Communication of shipments inbounded to all relevant internal customers.
Correct filing / scanning of all inbound paperwork.
Ensure all inbound shipments are recorded within IFI processes including Excel Spread sheets /asset register and WMS.
Outbound Operation
Carry out all tasks related to outbound shipments including the following.
Pick, assemble and pack outbound orders to the required standard.
Ensure all outbound shipments are packed to the required standard and quality to ensure safe transportation.
Ensure all outbound shipments are recorded systematically on vendor portals.
Ensure all outbound shipments are recorded within IFI processes including Excel Spread sheets / Asset Register and WMS.
Ensure all outbound paperwork is accurately filed and stored.
Communicate all details on outbound shipments to all relevant internal and external customers.
System Work
Creation of outbound shipments in courier portals.
Processing inbound shipments In Integra.
Processing inbound shipments in WMS
Communication with internal and external customers as required.
Updating of inventory records in Excel.
Updating of IFI asset registry in Excel.
Updating of IFI equipment service records in Excel.
Creation of purchase orders in Integra.
Completion of purchase orders in Integra.
On-line order placement with suppliers.
Stock Control
Carry out progressive inventory counts, and reconciliations as required.
Arrange all warehouse stock in an ordered fashion.
Maintain records of all disposed of assets.
Dispose of all obsolete or condemned stock as advised and in an environmentally friendly process...
Participate in full stock counts as required, travel may be required to complete.
Assist with asset stock checks nationally if requested, travel will be required.
Equipment Servicing
Provide support for Warehouse Officer/Manager in all aspects of equipment servicing.
Provide support for all servicing agents while onsite at Castle House as required.
Assist with the inbound and outbound activity of all equipment for servicing.
Updating of service records as required.
Delivery and collection of equipment to and from sites on an ad hoc basis as required.
Communication
Liaise with all internal customers in a timely fashion.
Communicate with all suppliers as required.
Communicate with all external customers as required.
Safety
Adhere to all IFI Safety Procedures.
Call out all safety issues as they arise.
Act as trained fire warden for site.
Ensure all equipment is stored in a safe manner.
Ensure all areas are safe for transit and free from trip hazards.
Participate in safety audits and inspections as required.
Participate in fire evacuation drills.
Facilities
Report all facilities issue for Castle House as they arise to the Warehouse Officer.
Report all facilities issue for Lake Drive as they arise to the management.
Arrange contractor visits as required or requested.
Escalate any challenges or delays with maintenance issues as they arise.
Liaise with contractors as requested to by management.
Update management when facilities tasks are completed.
Update facilities maintenance log as required.
Input and complete purchase orders in Integra for maintenance tasks as requested.
Vehicles
Assist with allocation of vehicles to staff as requested by admin or management.
Assist with the delivery and collection of hire vehicles to Castle House or Lake Drive.
Check and sign for hire cars as required.
Allocate tax and insurance discs to vehicles in Castle House and Lake Drive as requested.
Assist with maintenance call out for vehicles in City West if requested.
Assist in moving vehicles to and from garages as requested.
General
Assist with all ad hoc tasks that may arise on a day-to-day.
Attend all training as required.
KEY EXPERIENCE & QUALIFICATIONS
The ideal candidate will have the following:
Essential
Leaving Certificate (Level 5 NFQ) or recognized equivalent
A full unrestricted Category B driving licence that is valid in Ireland
A minimum of two years’ relevant experience in a warehouse specialist or administrative role.
Previous experience working in and understanding of accounts/bookkeeping
Excellent Administration Skills - IT literate (Microsoft Office suite) coupled with exceptional attention to detail
Ability to prioritise, to manage own workflow and to use own initiative
Strong communication, interpersonal and organisational skills
Excellent Time Management Skills
Ability to work under pressure
Ability to work on one's own initiative using sound judgement, whilst being able to take direction
Strong team player who can remain positive during challenging tasks
Flexibility and ability to balance cyclical daily, weekly and monthly demands with other work requirements
Will demonstrate a high degree of confidentiality and common sense
Provision of a quality customer / stakeholder experience is a key aspect of the role.

LOCATION
This role will be based at IFI’s warehouse at Castle House, Unit 2001, Citywest Road, Citywest Business Campus, Saggart, Co Dublin.

Please note that the successful candidate will need to go through a Garda Vetting process and complete safeguarding training before they can take up their role.

REMUNERATION
The salary scale for the position is at the level of Admin Assistant IV as applies in Inland Fisheries Ireland; it is a 12-point scale including 2 long service increments (LSI’s):

Candidates should note that salary will not be subject to negotiation and the rate of remuneration may be adjusted from time to time in line with Government pay policy. New entrants to the public sector will start on point 1 subject to Haddington Road Agreement and subsequent Government Agreements.
