We are seeking a highly organized and proactive Virtual Property Maintenance Coordinator to support our property management operations. Key Responsibilities / Deliverables

  • Assign, track, and follow up on work orders for maintenance staff and vendors.
  • Schedule maintenance appointments with tenants using Connecteam.
  • Handle inbound and outbound calls with tenants, vendors, and contractors.
  • Coordinate Section 8 inspections and move-ins for occupied properties.
  • Assist with renovation projects, rehab scoping, and project coordination.
  • Update and maintain accurate records in Buildium and M360 systems.
  • Purchase materials and obtain, review, and approve vendor quotes.
  • Manage daily communications via WhatsApp, email, and Google Voice.
  • Schedule property cleaning services and monthly extermination.
  • Review timesheets, reconcile hours, and process vendor bill payments.
  • Participate in daily, semi-weekly, and monthly team meetings.
  • Ensure smooth workflow and continuity during staff transitions.

Requirements

Proven experience in property maintenance coordination or property management.

Familiarity with property management systems (Buildium and/or M360 preferred).

Experience coordinating vendors, contractors, and maintenance teams.

Strong organizational and multitasking skills.

Excellent verbal and written English communication skills.

Comfortable handling phone calls and tenant/vendor communications.

Ability to prioritize tasks and work independently in a remote environment.

Proficiency with Google Workspace and basic accounting/billing processes.

Experience with Section 8 processes is a plus.
