What will you be doing?

We are hiring a detail-oriented and proactive Virtual Assistant to take full ownership of our newsletter support inbox. This role is critical in ensuring subscribers receive timely, accurate, and professional responses—helping prevent negative reviews, reduce friction, and protect the DM brand as we scale.

The ideal candidate is highly organised, calm under pressure, and comfortable handling high volumes of inbound queries while maintaining a friendly, customer-first tone.

Key Responsibilities

  • Monitor and manage the newsletter support inbox daily
  • Respond promptly and professionally to subscriber inquiries related to:
    • Newsletter access and delivery issues
    • Subscriptions, opt-ins, and opt-outs
    • Technical or platform-related questions
    • General clarification requests related to newsletter content
  • Follow established SOPs and response guidelines to ensure consistency
  • Escalate complex or sensitive issues to the relevant internal teams when required
  • Tag, categorise, and track recurring issues to identify trends and improvement opportunities
  • Maintain accurate records of subscriber interactions
  • Support the creation and updating of FAQs and canned responses
  • Ensure response time SLAs are consistently met

Requirements

What will you bring?

Must Have:

  1. Native English speaker (or at least professional level)
  2. Previous experience as a Virtual Assistant, Customer Support Agent, or Inbox Manager
  3. Strong written English communication skills (clear, professional, and empathetic)
  4. High attention to detail and excellent organisational skills
  5. Ability to handle repetitive tasks without compromising quality
  6. Comfortable working in a fast-paced, high-growth remote environment
  7. Tech-savvy and able to quickly learn new tools and platforms
  8. Reliable internet connection and ability to work independently

Nice to Have:

  • Experience supporting newsletters, email campaigns, or digital products
  • Familiarity with CRM, helpdesk, or ticketing systems
  • Exposure to online education, SaaS, or crypto/DeFi environments
