Job Role: Virtual Assistant - Marketing & Operations Support

Compensation range: $1500 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: The client is a purpose-driven wellness and lifestyle organisation dedicated to helping individuals live with deeper meaning and alignment by exploring ancient wisdom and holistic wellbeing practices.

Role Overview: We are seeking a reliable, proactive and highly organised Virtual Assistant to support the day-to-day marketing, digital presence, systems and lead generation across two aligned health and wellbeing brands.

This role is focused on consistency, organisation and follow-through. You will help ensure marketing activities, content, systems and customer journeys are executed accurately and optimised week to week, based on clear direction and existing strategies.

Your strength lies in execution, systems, and keeping everything running smoothly, while also being creatively minded and tech savvy — able to put ideas together with ease.

In simple terms: your core role is to work out how to move both brands from their current state to their desired state.

Key Responsibilities:

Virtual Assistant & Admin Support

• Manage the founder’s email inbox and schedule
• Process inbound enquiries from all channels
• Generate and follow up leads, including using Mailchimp
• Maintain and update the CRM database
• Support general administrative and operational tasks as required

Marketing & Social Media

• Assist with planning, scheduling and posting regular content across:
• Instagram
• Facebook (including managing groups)
• TikTok
• YouTube
• LinkedIn
• Insight Timer
• Ensure brand voice and messaging remain consistent
• Repurpose content across platforms where appropriate
• Support basic content coordination (videos, posts, updates)
• Maintain links, profiles and online presence (e.g. Linktree, websites)
• Manage the marketing calendar and content production timelines

Lead Generation & Growth Support

• Support ongoing lead generation activities
• Assist with outreach to collaborators, affiliates and partners
• Nurture existing customer, practitioners, wholesalers and affiliate relationships
• Support campaigns, promotions, challenges or quizzes as directed
• Including setting up quizzes using ScoreApp
• Note: strategy and ideas are worked through together
• Assist with podcast, media and collaboration outreach

Email Marketing & Customer Nurture

• Create (with input), send and optimise email campaigns using Mailchimp
• Manage email lists and ensure contacts are added to the correct journeys
• Use existing templates and brand guidelines for communications
• Support ongoing customer, community, affiliate and wholesaler nurture
• Create email and marketing assets using Canva

Advertising & Reporting

• Run ads on platforms such as Facebook and Google
• You are not expected to write ad copy
• Prepare reports on ad spend versus sales conversions
• Assist with simple reporting and tracking of marketing outcomes

Website, SEO & Analytics (Basic Support)

• Regularly check websites for accuracy, updates and functionality
• Assist with basic SEO updates and content changes
• Monitor basic analytics and flag issues requiring attention
• Liaise with relevant support providers when changes are needed
• Set up simple “drag and drop” landing pages and funnels

Systems, Planning & Processes

• Follow and update internal checklists and workflows
• Assist with weekly planning and task management
• Keep marketing and process documentation up to date
• Ensure tasks, content and projects are tracked and nothing is missed
• Work primarily in Trello (open to improvements or suggestions)

Events & Promotions

• Support promotion of events, workshops, webinars and retreats
• Assist with scheduling, reminders and follow-up communications
• Help ensure promotions run smoothly and on time

This is a remote role that will be set up as an independent contractor engagement.
