Virtual Assistant - Client Success Coordinator

We’re looking for a Client Success superstar to join our team and help us take our operations and client experience to the next level! You’ll work closely with our current Client Success team, and directly support our Client Success Director. The role is dynamic, strategic, and perfect for someone who loves problem-solving, staying organized, and working directly with clients.

In this role, you will be responsible for performing various tasks, including:

First week (training period – part-time, 4h/day):

  • Supporting back-end tasks
  • Messaging and following up with candidates via WhatsApp
  • Confirming candidate interest and keeping everything up to date
  • Organizing resumes, folders, and tracking info in Google Drive and ClickUp
  • Learning how we manage client accounts, processes, and communication

After the 1-week training:

  • Responding to clients and candidates via Slack
  • Joining kick-off calls with new clients
  • Managing candidate folders and sending match messages
  • Following up with clients and candidates to ensure progress
  • Keeping everything well-organized in ClickUp and Google Drive
  • Selecting and highlighting 3 top candidates every week to present to our clients
  • Helping resolve issues when clients/candidates ghost, delays happen, or something’s off
  • Staying proactive, communicative and always looking for solutions
  • Working directly with me and the team to make sure every client is happy and supported

Requirements

  • Previous experience working with client success
  • Fluent English (spoken and written)
  • Strong communication & copywriting skills
  • Someone very organized and comfortable managing multiple tasks
  • Fast response time – we don’t like leaving people hanging!
  • Proactive mindset – someone who takes initiative, brings ideas, and gets things done
  • Experience in client-facing roles or client success is a big plus
  • Comfortable working with tools like Slack, WhatsApp, ClickUp, and Google Drive
  • Familiarity with ChatGPT is a bonus 😉
  • Brazil-based or Portuguese speakers candidates preferred.
