This opportunity is with a growing international company seeking a detail-oriented Contract Management Assistant to support legal and operational functions. This role is ideal for a reliable professional with a structured mindset, excellent German skills, and prior experience in legal support or administrative roles involving contracts.
Responsibilities:
Administrative Support: Provide administrative assistance such as managing emails, scheduling appointments, and organizing documents.
Calendar Management: Coordinate and manage schedules for team members, including arranging meetings and appointments.
Communication Management: Serve as the primary point of contact for incoming inquiries, responding promptly and professionally via email, phone, or other communication channels.
Data Entry and Organization: Maintain accurate records and databases, ensuring information is up-to-date and easily accessible.
Document Preparation: Assist in drafting, editing, and formatting documents, presentations, and reports.
Contract Administration: Review and reconcile terms of old contracts against new ones, ensuring 100% accuracy in the contract details. Be prepared to call parties involved to ensure timely and accurate completion of the contracts.
Travel Arrangements: Coordinate travel logistics, including booking flights, accommodations, and transportation arrangements for team members.
Task Coordination: Manage and prioritize tasks and deadlines, ensuring timely completion and follow-up on pending items.
Client Relationship Management: Build and maintain positive relationships with clients, addressing their needs and inquiries promptly in a professional manner.
Team Collaboration: Collaborate with team members to support various projects and initiatives, offering assistance and contributing ideas as needed.
Ad-Hoc Support: Assist with additional tasks and projects as assigned by team members, demonstrating flexibility and adaptability in a fast-paced environment.
Note: If you are good at what you do, you will be given more challenging tasks to help raise your skill level.
Requirements:
German Language Skills (B2 or higher)
Previous experience as a virtual assistant, administrative assistant, or similar role is preferred.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Google Calendar, Google Docs).
Excellent written and verbal communication skills, with the ability to interact professionally with clients and team members.
Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
Proactive and self-motivated, able to work independently and take initiative in completing tasks.
Reliable internet connection and access to necessary equipment for remote work.
High level of confidentiality and discretion when handling sensitive information.
A bachelor's degree or relevant certification is a plus.
