Position Overview:

The VFX Production Assistant provides essential administrative and workflow support to ReelShort’s VFX department. This entry-level role focuses on maintaining accurate records, organizing files, and assisting in communication across teams, while also serving as a training ground for future VFX Coordinators. The PA will gain exposure to both creative and technical aspects of VFX production through shadowing sessions, including opportunities to observe on-set VFX supervision when applicable.

Responsibilities:

  • Tracking & Documentation: Support the maintenance of shot and asset records, delivery trackers, and related documentation.
  • Prepare and distribute meeting notes and action items to keep stakeholders aligned.
  • File & Asset Management: Organize and label project files in accordance with team standards.
  • Assist with archiving completed projects to ensure proper storage and accessibility.
  • Cross-team Support: Provide administrative and coordination support to VFX Coordinators.
  • Facilitate communication between VFX, Production, Post, and vendors by relaying updates and gathering feedback.
  • Archiving & Reference Preparation: Assist in preparing project reference packages, including visual materials and documentation, for internal and future use.
  • Contribute to the maintenance of the VFX reference library.
  • Shadow & Growth: Shadow VFX Coordinators and Lead Compositors throughout the entire VFX pipeline, starting from pre-production through production and post-production, including creative discussions, vendor communication, QC sessions, and on-set VFX supervision when applicable, to gain a comprehensive understanding of creative and technical decision-making.
  • Gain exposure to how creative and technical decisions are made in real time.
  • Participate in internal training sessions to build pipeline literacy and creative awareness.
  • Develop skills toward independent task ownership and progression into a Coordinator role.

Requirements

  • Previous experience in production, post-production, or VFX support preferred, but not required
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment
  • Proficiency in Microsoft Office and Google Workspace; willingness to learn project tracking tools
  • Effective communication and interpersonal skills
  • Familiarity with VFX workflows, file management, or creative pipelines is a plus, but training will be provided
  • Positive, proactive, and adaptable mindset, with an eagerness to learn and grow into a Coordinator role
  • Ability to handle confidential information with professionalism and discretion
  • Fluency in English required; Mandarin proficiency preferred
  • This is an on-site, five days a week position based in Los Angeles
  • Occasional overtime or weekend work may be required to meet deadlines

Benefits

Compensation: This contractor position offers a monthly rate ranging from $3,000 to $3,500
