Position Summary:  

The Traveling Medical Assistant Operations Administrator is responsible for supporting Traveling Medical Assistants (TMAs) across all clinic locations within the entire state of California. The TMA Ops Administrator acts as a liaison between TMAs, other functions and leadership, ensuring consistent servicessufficient coverage, and high efficiency across all sites. The TMA Ops Administrator supports both administrative operations within the TMA Department and a smooth Day of Evaluation. This includes efficient resource management, optimal scheduling coverage, and a premium experience to all MDpanel QME clients to ensure quality service as a frontline operations support contact.

 

Essential Duties and Responsibilities:  

Leadership & Oversight 

  • Collaborate with TMA Leadership to provide adequate TMA coverage. Including accommodating approved time off requests. 
  • Allocate TMA coverage based on provider schedules, evaluation volume, and team availability, in the most cost-effective manner for MDpanel. 
  • Provide Day of Evaluation support during escalations to Traveling Medical Assistants across regional clinic locations. 
  • Support daily workflow of TMAs including scheduling, triage coordination, and resource allocation. 
  • Assist with the onboarding, training, and evaluation of TMAs. 

Quality Assurance & Compliance 

  • Support continuous improvement efforts for workflow and operational efficiencies. 
  • Conduct audits of documentation and checkout practices through review of documentation and regular shadowing. 
  • Confirm all checkouts for the day have been completed within the regions. 
  • Confirm all evaluations are covered, and all TMAs are aware of their shift details.  
  • Confirm all psych evaluation’s have had the MMPI-3, BECKS, and ADL have been sent to the applicant seven days prior to the evaluation occurring.  
  • Conduct continuous quality improvement of key sets.  

Operational Support 

  • Oversee inventory control, supply management, purchase orders, and vendor coordination. 
  • Ensure standardized procedures and policies are being utilized across clinic locations in maintaining appropriate inventory onsite.  
  • Support collection and adjustment of time clock corrections.  
  • Tracking TMA attendance, incentives, and reporting time. Including daily consolidation of Time Card Corrections.  

Communication & Coordination 

  • Communicate changes or escalations on the Day of Evaluation to Care Team and TMA Leadership. 


Qualifications:  

  • 2–5+ years of combined scheduling and administrative medical office experience 
  • Minimum 2 years leadership or supervisory experience in a healthcare setting preferred. 
  • Excellent organizational skills with strong attention to detail 
  • Proficiency in Microsoft Office Suites and Google Suites 
  • Ability to manage multiple priorities simultaneously 
  • Excellent verbal and written communication skills 
  • Strong leadership and interpersonal skills. 
  • High level of integrity.  
  • Proficiency in Salesforce and other scheduling tools are a plus.
