The primary objective of this role is to provide comprehensive support to the BCO as well as to the Representative teams in APAC and Middle East region. This support includes a wide range of activities such as administrative tasks, reporting, project management, client communication, coordination of key events, expense management, and budget control.

This role will collaborate closely with Directors, BCO and Representative offices across APAC and ME to ensure that they receive timely and reliable support whenever required. The role aims to facilitate the smooth functioning of these teams by offering general assistance and aiding in various operational aspects.

Furthermore, the role carries the responsibility of promoting the entire Belmond portfolio, whenever suitable and appropriate.

MAIN DUTIES AND RESPONSIBILITIES:

  • Provide daily support to the Director of Sales APAC & ME, the Belmond Commercial Office (BCO) and Representation offices by assisting with general administrative tasks and client follow-up, including individual, group, leisure, or MICE (Meetings, Incentives, Conferences, and Exhibitions) requests, as instructed by the Global Sales Office (GSO).
  • Maintain and update the APAC and ME sales calendar, ensuring accurate and timely information regarding sales activities. Additionally, collaborate with and support the DOS in organizing events, as directed and in coordination with their guidance.
  • Perform general administrative duties, including processing invoices, payments, and conducting budget reviews. This entails ensuring timely and accurate processing of financial documents, coordinating with relevant stakeholders for payment approvals, and conducting regular reviews of budgetary allocations to ensure adherence to financial guidelines and targets.
  • Monitor and manage brochure stock levels, oversee the distribution of collateral materials, stationery, and other supporting materials for the Sales Teams in the APAC and ME regions.
  • Collaborate with the Coordinators to maintain and update the Customer Relationship Management (CRM) database.
  • Serve as the primary point of contact for clients in the APAC & ME regions, including Bellini Club and Consortia clients, in the absence of the BCO Account Manager or Regional Coordinator.
  • Provide administrative support for BCO reports and sales campaigns. This includes assisting with the preparation and compilation of reports, data analysis, and coordination of sales campaigns to support the BCO team's objectives.
  • Coordinate with BCO team the trade shows, Sales Series, and key events in the APAC & ME regions including ILTM.
  • Collaborate with DDOS, BCOs or Representation agencies in the APAC & ME region to assist in the organization of annual Sales Series held in multiple cities. This involves supporting the planning, logistics, and coordination of these events to ensure their successful execution.
  • Act as a key liaison for hotels participating in the Sales Series events in both the APAC & ME and APAC regions, working alongside the dedicated BCOs and representatives.
  • Assist in compiling market and sales reports as required.
  • Conduct ad-hoc research projects as instructed by BCO Directors.
  • Support the GSO teams in updating OSC and other systems for tracking, reporting, and follow-up purposes.
  • Maintain accurate and up-to-date contacts and reports for the Bellini Club and key consortia in the APAC & ME region.
  • Act as the primary liaison with the B2B Marketing teams for trade marketing initiatives, including leisure/MICE events, Sales Series, and tradeshows in the APAC & ME region.
  • Provide support to the APAC & ME BCOs and representative offices by sharing information and resources related to travel trade offers, Bellini Marketing, or ad-hoc campaigns, as needed.
  • Assist in preparing and delivering creative and distinctive sales presentations and events in collaboration with the Trade Marketing teams, ensuring adherence to the Belmond Brand guidelines.
  • Collaborate and communicate with the Travel Trade Marketing Director and the Travel trade marketing team on ongoing projects and initiatives.
  • Assist the BCOs in organizing educational trips to Belmond properties and products when required, ensuring smooth logistics and a positive experience for participants.
  • Monitor all activities and maintain up-to-date finance reports, attending budget reviews for the APAC & ME BCOs and representation teams.
