Traffic and Workflow Management
- Own the intake of all creative briefs from internal stakeholders across all event portfolios.
- Ensure every brief is complete, clear, and aligned with the creative team’s capabilities and timelines.
- Allocate work to the correct designers, creatives, and motion team based on skills, availability, and workloads.
- Maintain a real time traffic board and schedule for the department.
- Flag capacity issues early and propose solutions or re-prioritisation.
Project Management
- Create project timelines, delivery schedules, and key milestones, keeping all parties aligned.
- Track progress throughout the project lifecycle, ensuring work stays on schedule.
- Facilitate feedback loops, ensuring comments from stakeholders are consolidated, clear, and actionable.
- Ensure all assets go through the required approvals from Creative Leadership and brand owners.
- Support the ECD by preparing status reports, weekly priorities, and utilisation summaries.
Stakeholder Communication
- Act as the primary point of contact for internal teams requesting creative support.
- Manage expectations around timelines, capacity, and required information.
- Run weekly or daily stand ups with the creative team to review upcoming and ongoing tasks.
- Escalate risks, delays, or blockers early to maintain transparency and momentum.
Quality and Process
- Uphold and enforce brand guidelines and creative processes.
- Ensure files, briefs, and feedback are documented and stored systematically.
- Help refine and implement workflow systems, tools, and templates for future scalability.
- Support onboarding and training of new creatives on process and workflow.
Qualifications and Skills:
- Proven experience in traffic management, creative operations, or project management within an agency, in house studio, or events company.
- Strong organisational and multitasking abilities with excellent attention to detail.
- Ability to create structure in fast paced and high volume environments.
- Confident communicator who can manage multiple stakeholders at varying seniority levels.
- Experience with project management tools such as ClickUp, Monday, Asana, Notion, or equivalent.
- Understanding of creative and design processes across digital, print, video, and event branding.
- Ability to anticipate issues and proactively problem solve.
- Calm under pressure, solutions driven, and highly collaborative.
