Position Overview
We are seeking a highly organized and detail-oriented Talent Acquisition Coordinator to support our end-to-end recruitment operations. This role plays a critical part in ensuring a seamless candidate experience while partnering closely with recruiters, hiring managers, and cross-functional stakeholders. The ideal candidate thrives in a fast-paced environment, demonstrates strong communication skills, and has a passion for delivering operational excellence within Talent Acquisition.
Key Responsibilities
Recruitment Coordination & Operations
Coordinate interview scheduling across multiple stakeholders
Manage candidate communications throughout the recruitment lifecycle
Support TA Specialists with job posting, candidate tracking, and pipeline management
Maintain accurate data in the ATS and ensure compliance with internal processes
Candidate Experience
Serve as the primary point of contact for candidates during the interview process
Ensure timely communication and a positive, professional candidate journey
Prepare interview materials and logistics (virtual / onsite)
Stakeholder Support
Partner with TA Specialist and hiring managers to align interview plans
Support offer documentation and onboarding coordination as needed
Track recruitment metrics and prepare reports
Process Improvement
Identify opportunities to streamline coordination workflows
Support TA projects such as employer branding initiatives or campus hiring events
Qualifications
Must to have:
3+ years of experience in recruiting coordination, HR operations, or similar administrative roles
Strong organizational and time management skills
Excellent verbal and written communication skills
Native level of Japanese and business level of English
Experience working with global ATS platforms (e.g., Lever, Greenhouse, Workday, Taleo etc.)
High attention to detail and ability to manage multiple priorities
Proven experience building and scaling hiring operations in a high-growth environment (startup or tech preferred)
Nice to have:
Experience supporting global or cross-border hiring
Familiarity with employment compliance processes
Experience in fast-growing startup or multinational environment
Experience in IPO-preparation phase or rapid global expansion
Reporting Line
Reports to: Head of Talent Acquisition based in Tokyo
Employment Terms
Contract Term: No fixed term
Probation Period: 3 months (may be extended up to 6 months)
Work Location: Headquarters office – Heiwajima, Ota-ku, Tokyo (May be subject to change to another location designated by the company)
Working Hours: 10:00 AM – 7:00 PM (8 working hours/day with a 1-hour break)
Holidays: Saturdays, Sundays, and national holidays (including year-end and New Year holidays)
Salary: Annual salary system
Social Insurance: Full coverage under the Japanese social insurance system
