Position Summary:
Taking responsibility for an end-to-end portion of Mercana’s supply chain, the Supply Chain Planner, reporting to the Supply Chain Manager, manages the flow of goods from purchase order creation through to timely production, container planning and warehouse allocations and timely delivery of products.
In addition to coordinating with factories, the role is responsible for tracking production progress, identifying issues early, and ensuring that all documentation aligns with company and vendor records.
This role will be based in Ho Chi Minh City.
Focused on a region of factories, the Supply Chain Planner works closely with in-country teams and Canadian stakeholders including the GTM Team and QC, Logistics and Finance to ensure an accurate, timely and efficient flow of goods from start to finish.
Responsibilities:
Order Management
Utilize Mercana systems to generate purchase requirements and create Purchase orders for each vendor and transmits purchase orders.
Generate POs for samples, parts and other items as directed.
Work closely with overseas teams and factories to ensure that orders are produced according to the production schedule and flags to leadership and late or delayed orders.
Review and verifies Proforma Invoices to ensure accuracy on quantities, unit prices, discounts, and net amounts before proceeding with production.
Tracks key production milestones such as production start, in-line inspections and QC, and communicates any risks or delays to stakeholders.
Item Maintenance:
Updates sku values based on input from the buying team.
Resolves issues when vendor and company data do not match.
Works with internal teams to align pricing, discount structures and item details when discrepancies arise.
Container Planning:
Plan the allocation of merchandise purchase orders on containers from India or China.
Ensure each container is maximized in terms of capacity utilization and prioritize product allocation to meet required delivery dates.
Reviews production readiness and QC completion dates to ensure that goods scheduled for a container are aligned and compliant.
Purchase Order Warehouse Allocations:
Determine warehouse allocations for purchase orders at the time of purchase and shipment.
Coordinate with the Purchase Planner and Purchasing Assistant to ensure accurate and timely allocation of merchandise to warehouses.
Works with warehouse and logistics teams to support receiving accuracy and optimal flow once product lands.
Container Bookings:
Approve containers for bookings based on container planning and availability.
Coordinate with logistics partners to ensure timely booking and scheduling of container shipments.
Flag any delays with stakeholders across the organization. Update QC dates as required.
Reviews Commercial Invoices prior to vessel arrival to ensure accurate values for customs clearance and payment processing.
Transfer Generation and Organization:
Generate and organize transfers between warehouses to optimize inventory and in-stock for customers.
Analyze inventory levels and execute weekly zone-to-zone transfers to ensure optimal inventory distribution.
Quality & Issue Resolution
Works with QC teams to monitor inspection outcomes and supports issue resolution for design rejects or required rework.
Communicates directly with factories to align on corrective actions and updated timelines when issues occur.
Key Performance Indicators (KPIs):
In-stock %: Responsible for in-stock availability for products within portfolio.
Inventory Turnover: Manages quantities to achieve inventory turnover goals.
Container Fill Rate: Maximize container capacity utilization to minimize shipping costs and maximize product delivery efficiency.
On-Time Delivery: On-time shipment of orders that have completed production
Inventory Optimization: Optimize inventory levels and in-stock availability through effective transfer organization.
Qualifications:
Bachelor's degree in Supply Chain Management, Logistics, Business Administration, or related field.
3-5 years experience inventory management, container planning, warehouse allocation, or supply chain management.
Strong analytical skills and attention to detail.
Excellent communication and interpersonal skills, with the ability to coordinate across teams, regions and functions.
Managing multiple factories and timelines end-to-end.
Ability to work effectively in a fast-paced, dynamic environment.
Proficiency in Microsoft Excel and other supply chain management software tools.
