Employee leave management is outsourced to an external leave of absence vendor who administers all of Shutterfly’s U.S. employee leave requests. The Shutterfly Sr. Leave Analyst I oversees the vendor and provides program oversight for the leave of absence management administration functions including protected leave programs, consistent with statutory laws, company policies, procedures, and established guidelines as it relates to benefits and absence management. This includes all leave and accommodations requests arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), the company's short-term disability plan, maternity and parental leave and all other state and local leave programs.
Leave of Absence Administration Vendor Oversight

Serves as the primary Shutterfly contact to the vendor for overall leave program administration, management, and compliance.

Monitors vendor to ensure their leave administration practices comply with all regulations, laws and Shutterfly internal policies and plan terms.
- Ensures vendor performance is delivered effectively and in accordance with business requirements and service level agreements.
- Partners with the vendor to ensure HR, managers and employees have the tools, training and communications needed to effectively request and manage leaves with the vendor.

Acts as an escalation intermediary and liaison between HR, managers, employees, and the vendor to resolve complex issues and concerns and expedite leave administration. Conducts research and applies subject matter expertise and judgement to resolve escalated cases while adhering to company policy and federal, state, and local leave laws.
Leave Administration
- Regularly updates, and keeps current all leave related policies, programs, training, tools, and other communications materials. Posts the updates and new materials on applicable internal SharePoint sites and delivers training, as applicable.

Assesses the quality and compliance of internal leave processes. Identifies points of confusion and knowledge gaps. Solicits and responds to constructive feedback from HR, managers, employees and leave vendor. Recommends and implements solutions to improve internal processes and the employee leave experience.

Responds to HR, manager, and employee questions re: leave options, related benefits, eligibility and pay continuation, with appropriate follow-up as needed. May also assist with interpretation of benefit or leave policy information. Promotes and educates on self-service options when appropriate.

Completes leave verifications and data requests, as needed.
- Evaluates and initiates requests for recoupments and off-cycle payments and coordinate corrective action for payroll errors with Payroll. Researches and resolves pay discrepancies for employees; collaborates with Payroll for any pay corrections requiring off-cycle checks or repayments.

Stays current with latest industry knowledge, leading practices, and federal/state laws. Monitors state and federal legislation that will impact FMLA, parental leave, and other statutory leaves coordinating potential impact and plan administration changes with employees and the leave vendor. Analyzes compensation and benefits policies related to leaves to ensure compliance with legal requirements.

Audits and tracks leave and short-term disability program usage. Generates reports on leave data as requested, integrating information from various sources as appropriate.

Maintains accurate personnel data and completes related actions in HRIS software (SAP SuccessFactors) as needed. Appropriately preserves confidentiality of employee medical documentation and files.
Qualifications
- Bachelor’s degree in human resources, business, or another related field.

A minimum of 5 years of experience in benefits administration including 2 or more years of experience supporting and/or coordinating leaves of absence, reasonable accommodations, and related work in compliance with varied federal and state regulations, such as ADA, FMLA, USSERA, etc.
- Excellent written and oral communications skills and attention to detail, able to exercise discretion with confidential information.
- Demonstrated organizational and analytical skills, able to think strategically and creatively. Ability to prioritize competing assignments and manage workload effectively, working under pressure with tight deadlines and frequent interruptions.

Proficiency with Microsoft Office suite of software (Outlook, Teams, Word, Excel). Experience using HR databases and leave software.

The compensation package for this role is based on multiple factors, such as job level, responsibilities, location, and candidate experience. The base pay ranges included below are specific to the locations listed, and may not be applicable to other locations.
Minnesota: [$78,000-$93,750]
