We are seeking a Senior IT Specialist - Procurement & Asset Management to join our growing IT team as a strategic partner in our digital transformation journey. As we create innovative services leveraging AI technology to generate tremendous value globally, our rapid customer growth demands experienced and intelligent talent to optimize our software investments and collaborate closely with teams across the organization.
You will serve as the central point of contact for IT procurement strategy, managing our software portfolio from initial evaluation through end-of-life, while ensuring compliance, cost optimization, and seamless integration with our technology ecosystem. This role combines strategic thinking with hands-on execution, requiring both technical acumen and strong stakeholder management skills.
Responsibilities
Software Procurement & Lifecycle Management
- Lead end-to-end software evaluation processes including requirements gathering, market research, vendor demonstrations, proof-of-concept coordination, and selection recommendations
- Manage comprehensive SaaS software lifecycle including: requirements analysis and business case development, vendor evaluation and comparison, procurement negotiation and contract management, onboarding and integration planning, continuous usage tracking and optimization, cost analysis and budget forecasting, renewal evaluation and optimization, contract termination and data migration planning
- Develop and maintain a centralized software inventory and asset management system with real-time tracking of licenses, subscriptions, usage metrics, and renewal dates
- Software budget planning, forecasting, and procurement with quarterly business reviews
Vendor & Stakeholder Management
- Build and maintain strategic relationships with key software vendors, negotiating contracts, SLAs, and terms that align with business objectives and operational requirements
- Conduct regular vendor performance reviews, ensuring service level compliance and identifying opportunities for improved partnership value
- Serve as the primary liaison between business stakeholders, IT teams, security teams, and vendors to ensure alignment on requirements, timelines, and deliverables
- Cross-functional communication and coordination across departments and global offices
Compliance & Governance
- Ensure all software acquisitions meet organizational standards, privacy requirements, and industry compliance mandates
- Maintain audit-ready documentation for all software contracts, vendor assessments, and compliance activities
- Ensuring software compliance with regulatory and organizational standards
About You
Minimum Qualifications
- 5+ years of experience in IT asset management, software procurement, or related fields with demonstrated progression of responsibility
- Proven experience in cost control, budget management, and financial analysis with ability to build business cases and ROI models for software investments
- Demonstrated ability to evaluate and select vendors and technology solutions through structured assessment frameworks, considering technical fit, cost-effectiveness, vendor stability, and service quality
- Strong communication and negotiation skills with proficiency in English and Mandarin (written and verbal)
Preferred Qualifications
- Knowledge of AI applications to enhance operational efficiency and productivity
- Understanding of cloud services (GWS, GCP, Atlassian, Github, etc.), SaaS pricing models, and enterprise software licensing structures
- Experience working in cross-functional, global environments with ability to navigate cultural differences and time zone challenges
