HRL Laboratories is hiring a

Special Programs Assistant

Based in Southern California with locations in Malibu, Calabasas and Camarillo; HRL has been on the leading edge of technology, conducting pioneering research and advancing the state of the art. 

Essential Duties:
Provide administrative support for technical leads and technical staff members, in a fast-paced, dynamic environment. Duties involve coordinating program activities, including: 
Arrange appointments/meetings (e.g. with customers, interviews, administrative reviews) 
Maintain shared schedules 
Organize information, create and track action items, follow up with internal staff 
Prepare financial, deliverable and new business reports 
Make travel arrangements and generate expense reports 
Order and track supplies, materials, and equipment 
Coordinate internal resources such as office space 
Organize, coordinate and support staff morale events, office communications, notices, memos and announcements 
 
Skills Required:
5-7+ years administrative/secretarial experience. 
Demonstrated ability to coordinate multiple assignments, establish priorities and complete tasks in a timely manner
Demonstrated ability to learn internal processes, interface with external customers and work effectively with others 
Proficient with PC Office Suite (Word, Excel and PowerPoint) and familiarity or willingness to learn Sharepoint and Microsoft Project 
Good telephone manners 
Knowledge of office protocols including ability to interface with a wide variety of people and personalities (co-workers, technical staff, customers, director) required 
Working knowledge of productivity tools (Word, Excel, PowerPoint) required. 
Understanding of scheduling and organizational tools (Sharepoint, MS Project) desired. 
Experience with property and inventory management is desired but not required 
Basic financial knowledge desirable

Education Required:
BA or relevant experience 
 
Physical Requirements:
Must have the ability to sit for long periods of time and climb stairs to access different parts of the site
 
Special Requirements:
Must be able to communicate effectively and professionally with people; must have friendly, “can do” attitude. 
US citizenship status required
Must have a current Top Secret/SCI clearance with polygraph within last 5 years

Compensation:
The pay range for this position is $26.50 - $46.60 per hour + bonus + benefits.

Individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
