Reporting to the Chief of Staff, the Special Assistant to Management Leadership for Tomorrow’s CEO / Founder supports the CEO’s Office through operations management, special projects, and cross-functional coordination. The role offers an opportunity to strengthen organizational, project management, and communication skills while gaining insight into the operations of a leading social enterprise.  50% of your time will be spent on the CEO’s team.  You will spend an additional 25% of your time working on administrative projects with the Human Capital team, and the remaining 25% filling in gaps wherever they are needed within an organization, a department, or across multiple locations, ensuring operations run smoothly despite staff absences, high-demand periods, or unexpected events. The ideal candidate thrives in a fast-paced, entrepreneurial setting, demonstrating professionalism and the ability to manage multiple priorities seamlessly. They must be adept at crafting timely, audience-centered communications with high-value, executive-level stakeholders and handling confidential information with tact and discretion. Success in this position requires a strong sense of ownership, attention to detail, and accountability, coupled with the ability to leverage technology to create and implement efficient systems and processes that drive projects to completion. What will you be engaged in day-to-day?
  • Work closely with the CEO / Founder and Chief of Staff to maintain a strong internal and external presence, maximizing the CEO’s time and supporting effective organizational leadership.
  • Coordinate correspondence and maintain a database of senior-level contacts; develop frameworks and processes to enhance efficiency and effectiveness across the CEO’s Office.
  • Proactively manage daily operations for the CEO’s Office, establishing priorities and improving workflows to ensure smooth execution of key initiatives.
  • Draft and edit internal and external communications, including emails, acknowledgment letters, reports, and presentations, ensuring accuracy, clarity, and alignment with MLT’s brand and voice.
  • Manage scheduling and logistics for the CEO’s meetings with partner organizations, the Senior Leadership Team, and the Board, including agenda preparation, minute-taking, material development, and follow-up actions.
  • Prepare and reconcile expense reports, manage calendars, and coordinate complex travel arrangements.
  • Build and maintain strong relationships with internal and external stakeholders, demonstrating professionalism, discretion, and a client-service mindset.
  • Create and refine presentation materials that convey complex ideas clearly and effectively, using Google Slides and other design tools.
  • Leverage technology and AI tools to streamline processes, improve communication, and enhance overall office efficiency.
  • What qualifications would help you succeed in this role?
  • Bachelor’s degree or equivalent experience required
  • 4–6 years of experience; direct C-suite support required
  • Demonstrated maturity and discretion in managing confidential and sensitive information appropriately
  • Proven ability to operate in a high-pressure, dynamic environment with strong learning agility; able to anticipate needs, think quickly, and manage multiple priorities, tight deadlines, and sudden changes with composure, organization, and proactive problem-solving
  • Detail-oriented, proactive, and comfortable navigating ambiguity; thrives on challenge and continuous learning
  • Strong proficiency in Google Workspace (Docs, Sheets, Slides, and Drive), including the ability to design polished presentations and troubleshoot technology issues efficiently (e.g., A/V equipment, UberConference, Zoom); experience with Salesforce or other CRM systems is a plus
  • Superior written and oral communication skills, with a proven ability to craft effective, audience-centered communications and demonstrate a strong client service orientation
  • Ability to manage relationships professionally with individuals at all levels, including MLT staff, alumni, Board members, donors, and external partners
  • Availability for evening or weekend work as needed and flexibility to adjust to the dynamic demands of executive-level support
