Operations Service Coordinator - Hybrid  Solon, Ohio

 

What You Will Do:

Service Case Intake & Scheduling

  • Receive and log service requests via phone, email, and internal systems
  • Create service calls and work orders accurately
  • Schedule Field Service Engineers (FSEs) according to availability and priority

Documentation & Data Entry

  • Enter service notes, failure descriptions, and resolution details as provided
  • Attach POs, quotes, and supporting documents
  • Maintain clean, organized service records

Parts Order Processing

  • Place parts orders using provided part numbers
  • Track shipments and update ETAs
  • Ensure exchange/return documentation is sent respectively

Customer Communication

  • Provide basic status updates and scheduling confirmations
  • Communicate ETAs and appointment windows
  • Route escalations to senior team members

Internal Coordination

  • Communicate with FSEs regarding schedules and job status
  • Support Service Operations Specialists with administrative tasks

Success Metrics

  • Accurate work order creation
  • Timely scheduling
  • Minimal data entry errors
  • Positive internal responsiveness
  • On-time follow-through

What You Will Bring

  • Strong organizational skills
  • Professional written and verbal communication
  • Comfortable with computers and ticketing systems
  • Ability to manage multiple tasks simultaneously
  • Applies critical thinking to troubleshoot issues and make timely, well-reasoned judgment calls.
  • Customer service or dispatch experience
  • Healthcare background  - highly preferred
