Under the direct supervision of the Chief, Department of Protocol and Liaison Services, the Senior Protocol Officer is responsible for organizing, coordinating, and advising on protocol services and matters to ensure compliance of activities with international norms of diplomatic protocol, including the provision of protocol coverage for meetings and events involving the senior officials (The President/SG/USG/ASG), both at and away from IYF Headquarters.
Responsibilities
- Assist the Chief, DPLS in ensuring harmonious working relations with Representatives of Member Countries regarding their protocol-related requirements and their accreditation vis-à-vis the host country, including the registration and accreditation of IYF personnel;
- Arranges the facilitation of credentials for newly appointed Representatives, briefing them on the standard procedures;
- Plan, coordinate and execute official and high-level visits/functions, ceremonies, bilateral and multilateral meetings with foreign dignitaries and special events hosted at IYF, coordinating with the Security and Interpretation Services, and liaising with Member States, where necessary;
- Ensure the organization and provision of the necessary protocol and liaison services required for the IYF Events and other governing body meetings, committees and groups established; ensure protocol arrangements and manage operational preparations, such as invitations, table plans, seating, menus and facilities; manage and control protocol budgets and financial expenditures;
- Support all aspects related to the IYF Awards Programmes, including maintaining relationships with stakeholders, preparing or approving correspondence, authorizing the purchase of medals, and ensuring the maintenance of the database;
- Manage general and protocol related correspondence to/from Permanent Missions, Governments, Intergovernmental organizations and other entities; prepare and review congratulatory, appreciation, welcome and condolence letters; coordinate and ensure the effective management and verification of the database regarding the contact information of senior officials, Ambassadors and Permanent Missions;
- Provide substantive and authoritative advice and respond to queries on protocol issues such as honorifics/titles, salutations, VIP ranking, gift exchanges and invitation letters; and
- Perform other related activities when required.

Experience
Experience and results preferred in protocol role, management, youth empowerment role, development, communications, international relations, youth studies, sport, women empowerment, youth-led organizations or another relevant field.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.
Working Modality
This vacancy is a voluntary-based position with (3-7 Hours/Week) flexible part-time commitment.
