The Senior Payroll & Benefits Specialist will manage full-cycle payroll, core benefits administration, leave pay calculations, and related compliance for employees across the U.S. and Canada. You will own regular payroll processing for a growing, multi-state and multi-province salaried and hourly workforce, and administer health, welfare, wellness, and retirement programs. Experience with Rippling or similar HRIS/payroll platforms is an asset but not required.
This mid-level role is designed for someone with 5–6+ years of experience who is highly detail-oriented, independently driven, and comfortable taking ownership during key coverage periods, including vacation backup for leadership. You will be a key operational partner to Payroll, People, Finance, and our U.S. and Canada benefits brokers, helping deliver an exceptional employee experience.

What You'll Do
Payroll execution
- Process bi-weekly and semi-monthly payrolls for a multi-state U.S. and multi-province Canadian workforce, including both salaried and hourly employees.
- Calculate and process leave-related pay (e.g., U.S. statutory/state leaves, employer top-ups, Canadian EI-related leaves, and company top-ups), ensuring correct earnings codes, offsets, and taxation for both countries.
- Provide backup support for contractor payroll processing during coverage periods, ensuring accurate and compliant payments when the primary owner is out.
- Review and validate payroll inputs such as hours worked, overtime, bonuses, commissions, retroactive pay, off-cycle payments, and leave pay adjustments.
- Ensure accurate calculation and application of benefit and retirement deductions each payroll cycle.
- Prepare and process Records of Employment (ROEs) for Canadian employees in accordance with Service Canada requirements.
- Maintain strong internal controls and support continuous improvement of payroll processes and documentation.
Taxation and compliance
- Manage new state and provincial payroll tax registrations and ensure proper configuration in payroll systems.
- Monitor and apply multi-state and Canadian provincial payroll tax rules, including taxation of benefits, leave payments, and fringe compensation.
- Liaise with U.S. state agencies, the IRS, and the CRA for registrations, filings, updates, notices, and issue resolution.
- Support workers’ compensation setup and classification, ensuring correct wage reporting and alignment with payroll and benefits data.
- Assist with compliance activities related to retirement plans (e.g., 401(k) or equivalent), including contribution limits, corrections, and year-end processes.
Benefits administration (U.S. and Canada)
- Administer day-to-day benefits operations for U.S. and Canada employees, including medical, dental, vision, life, disability, and wellness programs.
- Manage end-to-end benefits enrollment processes for new hires, qualified life events, and terminations, ensuring accurate and timely updates in HRIS, payroll, and carrier/broker systems.
- Maintain and apply benefits eligibility rules and waiting periods across multiple plans and jurisdictions, including distinctions by employment status, hours, and location.
- Coordinate with benefits brokers and carriers in the U.S. and Canada on enrollments, file issues, escalations, and plan operations.
Benefits auditing, reporting, and ACA
- Perform regular audits of benefits deductions, carrier invoices, and enrollment data to identify and resolve discrepancies between HRIS, payroll, carriers, and brokers.
- Support ACA administration, including tracking hours for measurement/stability periods, monitoring eligibility, and ensuring accurate coding for offers of coverage and reporting.
- Assist with the preparation of required benefits and payroll reports, including audit support, non-discrimination testing, and government filings.
- Partner with Finance to reconcile payroll, benefits, and retirement plan data and maintain audit-ready documentation.
Employee, broker, and wellness support
- Respond to employee payroll and benefits inquiries in a clear, timely, and service-oriented manner, explaining pay calculations, leave pay, deductions, eligibility, and plan details.
- Support contractor-related questions during coverage periods, escalating complex issues as needed.
- Build and maintain strong working relationships with the U.S. and Canada benefits brokers and vendors, supporting day-to-day issue resolution and small process improvements.
- Support wellness program administration, including eligibility management, communications, incentives, and coordination with internal teams and external partners.
- Collaborate closely with People and HR Operations to ensure employee records are accurate and changes are consistently reflected in payroll, benefits, and leave pay calculations.
What You’ll Bring
- 5–6+ years of hands-on, end-to-end payroll experience covering both U.S. and Canadian employees (salaried and hourly).
- Direct experience administering benefits across the full lifecycle (enrollment, changes, terminations, leaves) in the U.S., with exposure to Canadian benefits strongly preferred.
- Demonstrated experience calculating and processing leave-related pay for U.S. and Canadian employees, including coordination with state programs, insurers, and Canadian EI/top-up designs.
- Strong working knowledge of multi-jurisdiction payroll and benefits regulations, including FLSA, ACA, and key Canadian programs such as EI and CPP/QPP.
- Experience supporting a mid-to-large employee population (approximately 1,000+ employees) in a high-growth or multi-location environment.
- Practical experience with retirement plans (e.g., 401(k) or equivalent), including eligibility, enrollments, deferral changes, and annual contribution limits.
- Demonstrated ability to reconcile benefits invoices, audit deductions, and partner with vendors/brokers to resolve discrepancies.
- Proficiency with modern cloud-based HRIS/payroll platforms; experience with Rippling is a strong asset but not required.
- Strong Excel skills for reporting and reconciliations.
- Excellent attention to detail, strong analytical skills, and a service-oriented mindset with the ability to handle sensitive information confidentially.
- Payroll or benefits-related certifications (e.g., U.S. or Canadian payroll certification, CEBS, or similar) are an asset.

- The base salary for this role ranges from $90,000-$118,000 in local currency, depending upon experience
