Senior Payments Reconciliation Officer

The Senior Payments Reconciliation Officer is responsible for ensuring the accuracy, completeness, and integrity of all payment-related transactions across Moneybase platforms, banking partners, and internal systems.

This role plays a critical control function within the organisation, ensuring that client funds, settlements, and internal ledgers are fully reconciled, discrepancies are investigated and resolved, and regulatory standards are consistently met.

Key Responsibilities

  1. Payments & Bank Reconciliation

· Perform daily reconciliation of client money accounts, payment providers, and internal ledgers

· Reconcile transactions across multiple channels (cards, SEPA, wallets, custodians, brokers, etc.)

· Ensure all transactions are accurately reflected between payment systems, core platform, and bank statements

2. Discrepancy Investigation & Resolution

· Identify, investigate, and resolve reconciliation breaks in a timely manner

· Escalate material discrepancies and risks to Finance / Risk teams

· Work closely with Payments, Product, and Tech teams to resolve root causes

3. Controls, Risk & Compliance

· Ensure adherence to internal controls, safeguarding requirements, and regulatory obligations (MFSA / client money rules)

· Support audit processes (internal & external) and provide required reconciliation evidence

· Maintain clear audit trails and documentation

4. Reporting & Month-End

· Support month-end close activities, including balance sheet reconciliations and reporting

· Prepare reconciliation reports, highlighting aging items, trends, and risks

· Provide insights to improve financial accuracy and operational efficiency

5. Process Improvement & Automation

· Identify inefficiencies and drive automation of reconciliation processes

· Collaborate with Product and Engineering on system improvements and scalability initiatives

· Reduce manual intervention and reconciliation breaks over time

6. Stakeholder Management

· Act as a key contact for reconciliation-related queries across:

o Finance

o Payments / Operations

o Product & Tech

· Support resolution of customer-impacting payment issues

7. Leadership & Oversight

· Provide guidance and support to junior reconciliation officers

· Review work outputs to ensure accuracy and quality standards

· Contribute to defining KPIs, SLAs, and reconciliation standards

Requirements

Key Requirements

Experience

· 4–6+ years in reconciliation, payments operations, or finance within fintech, banking, or financial services

· Strong experience in payments reconciliation (high-volume, multi-system environments)

· Exposure to client money / safeguarding frameworks is highly preferred

Technical Skills

· Strong Excel skills (pivot tables, lookups, data analysis)

· Experience with ERP / finance systems and reconciliation tools

· Understanding of payment flows (cards, SEPA, PSPs, clearing/settlement)

· Strong analytical and problem-solving mindset

· Ability to manage large volumes of transactional data

· Clear communication and stakeholder management skills

· Ability to work in a fast-paced, scaling environment
