HappyCo is seeking a Senior Manager of Information Services to centralize and optimize the management of our SaaS systems and software tools, link data and workflows across departments and systems, and be a catalyst for driving towards AI and automation across the business. As a remote-first company, we rely on a diverse ecosystem of enterprise software to enable collaboration, productivity, and business operations across our distributed teams. This newly created role will consolidate oversight of systems that have historically been managed by various department heads, bringing strategic coordination, governance, and optimization to our technology stack.
Reporting to the Senior Director, Business Transformation and Operations, you will be responsible for managing our portfolio of SaaS applications, ensuring proper provisioning, security, integration, and cost management. You will work cross-functionally with Leadership, department heads, Finance, and People teams to align our systems with business needs and drive adoption of best practices.
Key Responsibilities | SaaS Portfolio Management
Own the end-to-end lifecycle management of HappyCo's SaaS systems and software tools
Leveraging HappyCo’s existing Torii solution, update and maintain inventory of all systems, including ownership, licensing, renewals, usage, and integration dependencies
Evaluate ROI of existing systems, and recommend new systems or consolidation opportunities to improve efficiency and reduce redundancy
Partner with department heads to understand business needs and ensure systems align with operational requirements
Key Responsibilities | Access Management & Governance
Partner with Security resources to establish and enforce governance policies for system access, user provisioning, and de-provisioning
Coordinate with People Team on onboarding and off-boarding processes for hardware and any software not auto-provisioned, to ensure timely access management
In partnership with Security resources, implement security best practices and compliance requirements across all managed systems
Serve as the escalation point for access requests and system-related issues
Key Responsibilities | Vendor & License Management
Manage vendor relationships and serve as primary contact for SaaS providers
Negotiate contracts, renewals, and pricing with vendors in partnership with Finance and the department leaders who are primary users of each tool
Optimize license allocation and costs by monitoring usage patterns and rightsizing subscriptions
Track and manage software budgets across departments
Key Responsibilities | Integration & Optimization
Identify opportunities to improve workflows through better system integration and automation
Work with technical teams to implement integrations between systems where beneficial
Drive adoption of systems and features to maximize ROI
Develop and maintain documentation, training materials, and support resources in Notion
Key Responsibilities | Strategic Planning
Develop a strategic roadmap for HappyCo's information services and SaaS ecosystem
Stay informed of industry trends and emerging technologies relevant to remote-first operations
Champion the adoption of emerging AI technologies to improve user experience, streamline processes, and drive innovation across HappyCo's technology ecosystem
Leverage AI and automation tools to enhance system management and operational efficiency
Partner with leadership to align technology investments with business objectives
Required Qualifications
6-8 years of experience in IT operations, SaaS management, or related roles
Proven track record managing enterprise SaaS applications and vendor relationships
Strong understanding of SaaS licensing models, security, and compliance requirements
Experience leveraging AI tools to enhance operational efficiency
Experience working in or supporting remote-first organizations
Excellent project management and organizational skills
Strong communication and stakeholder management abilities
Analytical mindset with experience in cost optimization and ROI analysis
Preferred Qualifications
Experience with and Admin certification for common business systems (e.g., Jira, Notion, Slack, Google Workspace, Salesforce, Gainsight)
Familiarity with integration platforms and automation tools (e.g., Zapier, Make, N8N)
Knowledge of information security frameworks and compliance standards
Background in change management and user adoption strategies

Complete a comprehensive review and audit of HappyCo's current SaaS systems and software inventory
Establish relationships with key stakeholders and department heads
Document current processes for system access, provisioning, and vendor management
Identify quick wins for cost optimization or process improvement
Identify existing and potential data relationships between systems that are aligned/or misaligned with HappyCo’s workflow
Develop a strategic roadmap for information services
What Success Looks Like | In Your First Year
Design, promote and implement governance policies and processes that improve efficiency and security
Achieve measurable cost savings through license optimization and vendor negotiations
Improve system adoption and user satisfaction across the organization
Establish HappyCo as a best-in-class example of SaaS management for remote-first companies
Be a catalyst for AI and Automation to improve HappyCo internal effectiveness and efficiency
Build scalable processes that support company growth
