ABOUT YOUR ROLE

The candidate is responsible to provide administration and secretarial support to the Site Leader (SL) / Plant Manager (PM) and support the leader in maintaining the day to day running of the office in a confidential manner.

 

YOUR MAIN RESPONSIBILITIES WILL INCLUDE

Primary Objectives and Activities

  • Responsible for managing and monitoring SL calendar and schedules and coordinating all meeting arrangement and agenda, disseminate meeting invitations, set up meeting venues and prepare all documentation, translation and presentations.

  • Fully responsible to arrange SL and staffs’ travel itinerary, business travel document, visas and support visitors’ visits to the company which include accommodation, transport and flight arrangement.

  • Liaise with both internal and external stakeholders including Corporate personnel on matters related to the job.

  • Involved and participated in company staffs’ activities such as Funtrac activities and events, teambuilding, festival celebration, recognition function, annual appreciation dinner, external business meeting, employee upward feedback, brown bag session etc.

  • Maintain the business records such as score card report, KPI, OGSM, company presentations, weekly media broadcast, monthly report and critical contracts.

  • Responsible for the daily administration of employee cafeteria.

  • Responsible for office administration matters including office seating arrangement and relayout.

  • Be the liaison person to corporate marketing and other corporate functions in the areas of company update/news, marketing effort and tracking, hotel/travel improvements etc.

  • To support other tasks and assignments from time to time.

Key External Interactions

  • Travel agencies to reserve flight tickets for SL & staff business trips.

  • Hotels for visitors accommodation arrangements.

  • Transporter for visitors transportation arrangements.

Travel Requirement: Low (< 25%)

 

WHAT WE WILL BE LOOKING FOR IN YOU

  • At least a Bachelor's Degree in Business Studies, Administration, Management, Secretarial or equivalent.

  • 5 - 8 years related work experience in a manufacturing environment.

  • Possess some human resources working experience will have added responsibilities.

  • Possess good Microsoft Office skills especially Words, Excel and PowerPoint.

  • Possess good communication, interpersonal and analytical skills and can interact with all levels of staff and is a team player.

  • Must have the right passion and motivation with high discipline and commitment to work with minimal supervision.

  • Cheerful personality, mature, attention to details, assertive, organized and able to keep calm under duress.

  • Must have excellent speaking and writing skills in English Language and Bahasa Malaysia.

  • Possess sense of urgency and responsible in carrying out tasks assigned.
