Senior Executive Assistant - Coach & Consultant Support (Business Operations)

Location: Remote (Global)
Compensation: $1,250 USD for the first 3 months, then $1,500 USD/month Schedule: Full-Time | Flexible hours aligned with client sessions

About the Role

We are seeking a high-level Executive Assistant with proven experience supporting coaches and consultants. This role goes beyond traditional administrative support and requires someone who understands consulting workflows, client coordination, and operational execution in fast-paced environments. The ideal candidate will proactively manage logistics, communication, CRM workflows, and business development support while leveraging modern productivity and AI tools to improve efficiency and execution.

Key Responsibilities

  • Coordinate logistics, manage calendars, book travel arrangements, and confirm client session details. Prepare digital materials, session templates, agendas, and follow-up deliverables for client meetings.
  • Maintain and update CRM systems with leads, clients, and session information.
    Track progress across the sales pipeline and ensure accurate data management.
  • Support outbound business development through LinkedIn outreach, email communication, and cold calling.
  • Manage executive inbox communication and prioritize tasks to ensure timely responses.
  • Assist with marketing coordination, including scheduling social media content and repurposing materials.
  • Collaborate with design or content contributors to organize branded deliverables.
    Leverage AI tools to streamline documentation, communication workflows, and operational processes. Operate effectively in a fast-paced environment while managing multiple priorities and deadlines.

Non-Negotiable Requirements (Must Meet ALL)

  • Minimum 4 years of experience as an Executive Assistant directly supporting coaches, consultants, or professional service executives.
  • Strong hands-on experience with CRM platforms and AI productivity tools (ChatGPT, automation tools, or similar).
  • Proven ability to operate in fast-paced, high-demand environments managing complex scheduling and competing priorities.
  • Experience supporting outbound business development, including LinkedIn outreach, email campaigns, appointment setting, and/or cold calling.
  • Advanced English communication skills with prior client-facing experience representing an executive professionally.

Nice to Have

  • Familiarity with EOS® or similar business operating systems or coaching frameworks.
  • Basic marketing or content coordination knowledge, including social media scheduling tools. Experience using automation tools such as Zapier for workflow integrations.
  • Exposure to project management platforms such as Asana, ClickUp, or Monday.com.
