Planned Parenthood Los Angeles is seeking an experienced Scheduling Coordinator with excellent communication and customer service skills to work in our Downtown Los Angeles Headquarters. Develop and implement Electronic Health Record (EHR) templates for scheduling patients for all health centers. Plan, organize, and direct activities related to patient appointment schedules to maintain appropriate access to clinical services at all health centers. Work closely with other departments to optimize patient access and staff schedules. Work closely with other members of the scheduling team to ensure adequate licensed staff coverage for all health centers based on staffing/service needs.

Our Ideal Candidate will have the following qualifications:
- High School Diploma or GED required; Bachelor’s Degree preferred
- Previous experience with scheduling software/systems
- Familiarity with NextGen EHR preferred
- Familiar with basic medical terminology
- Experience managing multiple projects
- Familiarity with outpatient healthcare operations
- Must be available for a rotating schedule for On-Call shifts, including evenings, early mornings, and weekends
- Ability and willingness to travel within Los Angeles County
- Must be able to track, analyze, and synthesize data; intermediate level Microsoft Excel skills
- Experience in conducting workshops and/or training sessions
- Experience with helpdesk ticketing systems
About this position:
- Abortion patients are cared for at each of our health centers, and in part through the administrative, support, and other non-clinical services provided at all PPLA locations, and by all PPLA employees. Supporting these critical services is an essential job duty, and a fundamental responsibility of all employees and contractors.
- Maintain scheduling reports and scheduling software consistently up-to-date
- Interact with direct supervisor, Patient Services management team, and Call Center department as required to facilitate the scheduling process
- Work with Training department to develop new hire and advanced skill schedules
- Support and assist Staffing Coordinator as requested
- Manage on-call coverage of clinical staff
- Orient new staff to the scheduling process and procedures
- Create and implement patient scheduling templates for all heath center locations
- Maintain the role of super user and subject-matter expert for all scheduling systems
- Recognize trends in patient demand and work collaboratively with Patient Services department to optimize patient access in accordance with PPLA standards
- Conduct system reviews and/or audits for quality improvement purposes
- Work closely with Patient Services department to manage the scheduling process and patient access in accordance with PPLA standards
- Perform administrator duties of the scheduling software systems and maintain relationship with product vendor
- Keep all scheduling reports, databases, project plans, and dashboards up to date
- Attend and participate in task forces and meetings as assigned and requested
- Work collaboratively with the Information Technology department to ensure proper technical support and maintenance of the scheduling systems
- Collaborate with the Call Center, Training, and Quality Assurance teams to coordinate special projects or events
- Maintain continuous communication with Call Center staff
- Continuously monitor data to identify quality improvement strategies to optimize patient access
- Responsible for projects impacting staffing and patient access as assigned by supervisor
- Accept accountability and provide collaboration and motivation within the team
- Prioritize tasks and meet deadlines as outlined

Hiring range: $24.20 - $29.04 per hour (Non-Exempt)
