About the Role

This client is a growing Property Management & Real Estate agency based in New South Wales. Their sales division operates in a fast-paced, deadline-driven environment where listings move quickly and compliance matters. Agents are client-facing and revenue-focused — they rely on strong administrative ownership to keep campaigns, contracts, and settlements on track.

This is not a passive back-end role. The client needs a front-end operator who can manage enquiries, prepare sales documentation, coordinate campaigns, and own the Listed-to-Settled workflow without constant direction. They delegate outcomes, not tasks — and expect follow-through without reminders.

To feel confident and supported, the client needs someone who keeps CRM data clean, tracks every milestone, anticipates next steps, and ensures no compliance requirement slips through the cracks.

Requirements

  • Manage property enquiries and sales communications, ensuring timely responses and consistent follow-up
  • Own the Listed-to-Settled workflow, tracking compliance requirements, documentation, and milestone deadlines
  • Prepare appraisal proposals, listing presentations, contracts, and sales documentation to support listing conversion
  • Coordinate property marketing campaigns including portal uploads, advertising timelines, and social media coordination
  • Maintain CRM accuracy through detailed data entry, contact management, status updates, and reporting
  • Schedule appointments, appraisals, and sales-related meetings while managing calendar coordination
  • Liaise with vendors, buyers, agents, and internal teams to move transactions forward
  • Monitor transaction progress and proactively flag risks, missing documentation, or delays
  • Identify workflow gaps and recommend process improvements to strengthen operational efficiency

Non-Negotiables

  • 3+ years of NSW real estate sales administration experience
  • Strong working knowledge of NSW real estate sales processes, compliance, and terminology
  • Proven experience managing real estate CRM platforms such as PropertyMe, Agentbox, or similar
  • Experience coordinating digital property listings and online marketing campaigns
  • High proficiency in Microsoft Office or Google Workspace
  • Excellent written and verbal English communication skills
  • Full-time availability, Monday to Friday | 10:00 AM – 6:00 PM AEDT
  • Detail-oriented with strict adherence to compliance and documentation standards
  • Proactive, accountable, and able to manage deadlines without supervision
