Sales & Business Operations Manager

Own the operational backbone of the organization, enhancing sales processes and supporting the consulting team in a fast-paced AI-native firm.
Trilagen is an AI-native consulting firm based in Bethesda, MD specializing in AI Agent Engineering, Cloud (AWS & Oracle OCI), and Identity Security (Okta & SailPoint ISC) for large, publicly traded enterprises.
The President currently runs sales, delivery oversight, partnerships, and operations. This role exists to run the operational side of the business — supporting the President on sales operations while also serving as the operational backbone for the consulting team. You will own sales operations, business operations, and the administrative infrastructure that a growing firm needs to scale.
This is not an executive assistant role. You will own processes end-to-end, make decisions, and be the person the entire organization relies on to keep things running. You report directly to the President and will have visibility into every part of the company.
Sales Operations
Your job is to make the sales motion more effective by handling everything around the sale — and to provide operational support that benefits the entire team.
• CRM management — set up and maintain CRM (Salesforce), log all opportunities, meetings, and next steps. Keep the pipeline documented, visible, and accurate for the President and any future sales hires.
• Proposal and SOW production — you format, proof, and produce professional proposals and Statements of Work using Trilagen templates.
• Meeting scheduling and coordination — schedule prospect and client meetings, manage the sales calendar, handle the back-and-forth with executive assistants at Fortune 500 companies.
• Partner portal administration — manage AWS ACE deal registration, Okta Partner Connect portal, SailPoint Navigate portal. Register deals, track referrals, maintain partner compliance.
• Pipeline reporting — produce weekly pipeline reports, forecast summaries, and win/loss tracking. Build the reporting infrastructure leadership needs to manage the sales motion.
• Sales follow-up coordination — after sales calls, send follow-up emails, schedule next steps, distribute materials, and track action items to completion.
• Sales hiring support — when the company hires sales reps, you manage the recruiting logistics: post JDs, screen resumes, schedule interviews, coordinate with recruiters.
Business Operations
You own the operational backbone of the entire organization — supporting consultants, the President, and any future hires as the company scales.
• Invoicing and accounts receivable — generate client invoices, track payments, follow up on outstanding AR. Coordinate with the CPA on financial reporting.
• Consultant onboarding and offboarding — manage the logistics of bringing new consultants onto projects: NDAs, system access, client introductions, equipment, benefits enrollment.
• Timesheet and utilization tracking — track billable hours across all consultants, report on utilization rates, flag capacity issues before they become problems.
• Contract and SOW management — maintain a central repository of all active client contracts, SOWs, renewal dates, and amendment history. Flag upcoming renewals 60 days out.
• Vendor and insurance management — manage vendor relationships, software subscriptions, E&O insurance, general liability, and compliance documentation.
• Conference and event logistics — coordinate attendance at AWS re:Invent, SailPoint Navigate, Oktane, and industry events. Registrations, travel, booth logistics, follow-up lists.
• HR administration — benefits administration, PTO tracking, performance review scheduling, and general people operations for a small team.
• Office of the President — handle executive travel, board prep, investor materials, and any operational tasks that need to be executed quickly and reliably.
Requirements
• 3–7 years in operations, sales operations, or business management — ideally at a professional services firm, consulting firm, staffing agency, or technology company under 100 people.
• CRM experience (Salesforce preferred) — you've set up and maintained a CRM, not just used one. You understand pipeline stages, deal tracking, and reporting.
• Financially literate — comfortable with invoicing, AR tracking, utilization math, and basic P&L concepts. You don't need to be an accountant, but you need to read a financial report.
• Extremely organized and detail-oriented — nothing falls through the cracks. You manage multiple workstreams simultaneously without being told to follow up.
• Strong written communication — you'll be drafting client-facing emails, formatting proposals, and producing reports shared with prospects, partners, and the leadership team.
• Tech-comfortable — you can navigate partner portals (AWS, Okta, SailPoint), learn new tools quickly, and aren't intimidated by the fact that this is an AI/cloud/security company. You don't need technical depth — you need to be comfortable in a technical environment.
• Self-directed and proactive — you won't be micromanaged. You see what needs to be done and do it. You build processes where none exist. The team counts on you.
• Comfortable in a small, fast-moving company — your job description will evolve. You'll wear multiple hats. If you need rigid structure and defined lanes, this isn't the right fit.
