About the Position

The Reservations Manager is responsible for overseeing and managing the end-to-end mid-term reservations process, while leading and supporting the Reservations Agent team. The position ensures that enquiries are handled correctly, listings remain accurate and competitive, bookings progress smoothly from first contact through to move-in day, and both landlords and applicants receive a consistent, high-quality service. The position requires someone with 4 to 5 years experience in holiday homes, serviced apartments, corporate stays, or medium to long-term rentals. This is not a hotel reservations role. The successful candidate must be able to explain processes clearly and in detail, take initiative when issues arise, and step in quickly when team members struggle.

The position works closely with Operations and Sales to maintain smooth handovers, resolve escalations, and protect booking quality and conversion. The position reports into the Lettings function and is accountable for team performance, process adherence, and day-to-day execution standards.



Main Duties and Responsibilities

  • Manage the Reservations Function
    Oversee the day-to-day reservations operation for different markets, ensuring enquiries are handled correctly and bookings progress smoothly from first contact through to move-in day.
  • Lead and Support the Reservations Agent Team
    Coach, guide, and manage the Reservations Agent team, ensuring performance standards are met, issues are escalated correctly, and team members are supported when they struggle.
  • Listings Management and Quality Control
    Oversee the creation, maintenance, and ongoing accuracy of property listings across mid-term rental platforms. Ensure listings remain competitive, accurate, and aligned with market conditions.
  • Process Management and Continuous Improvement
    Build, document, and enforce clear processes and SOPs for enquiry handling, booking workflows, and reporting. Identify gaps, resolve inefficiencies, and improve consistency.
  • Payments and Administration Oversight
    Oversee tenant payments, rent collection coordination, and deposit return processes. Ensure booking agreements, renewals, and relevant admin tasks are completed accurately and timeously.
  • Oversee Inspections and Coordination
    Oversee scheduling and management of pre and post property inspections and handovers, working closely with Operations to ensure readiness and smooth transitions.
  • Reporting and Performance Tracking
    Track and report on enquiry volume, response times, conversion, booking quality, and team performance. Provide clear updates and visibility on trends, risks, and outcomes.

Qualifications, Knowledge and Work Experience

  • 4 to 5 years work experience in holiday homes, serviced apartments, corporate stays, or medium to long-term rentals.
  • Previous experience managing or coaching a team in a reservations, lettings, or booking environment.
  • Strong ability to explain processes clearly and in detail, and enforce consistent standards.
  • Advanced level of competency in English (C1 or C2).
  • Strong English proficiency (written and verbal communication).
  • Exceptional organisational skills with strong attention to detail and a proactive approach to problem-solving.
  • Ability to work independently as well as part of a team.
  • A positive and professional attitude when dealing with landlords and tenants.

  • Monday to Friday
  • 09:00 to 18:00 (CEST)
  • This position is based in the Philippines (Remote)
