FreedUp is excited to announce an opening for a Remote Executive Assistant – Sales & Operations to support our sales and operations teams. In this pivotal role, you will provide high-level administrative support and help drive sales processes, client communications, and operational efficiencies. Responsibilities:
As a Remote Executive Assistant, your role will include managing schedules, coordinating client communications, tracking sales metrics, and assisting in various operational tasks. You'll be instrumental in ensuring that our sales team is well-supported and organized, enabling them to focus on closing deals and driving revenue.
Location: This is a fully remote position.
Job Type: Full-Time
Salary: 1,000-1,600 (based on experience)
Requirements
- 3- 5 years years in sales support, sales operations, BDR/SDR, account coordination, or commercial roles
- Strong experience with CRMs (HubSpot, Salesforce, Pipefy, Pipedrive, etc.)
- Excellent written and verbal communication
- Strong organization, follow-up discipline, and attention to detail
- Comfortable working remotely and cross-functionally
- Intermediate to advanced Excel / Google Sheets skills

Technical Requirements: Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
Nice to Have:
- Experience supporting founders or executive sales teams
- Experience with Smart Pricing Table or proposal software
- Event coordination or travel logistics experience
- Background in B2B services, consulting, or SaaS
Key Responsibilities
Sales Coordination & Client Interaction
- Schedule inbound appointment requests via email or phone, applying lead qualification criteria before booking calls
- Make outbound calls to warm contacts to book networking or introductory meetings
- Prepare a one-page briefing for every sales call (context, objective, stakeholders, background)
- Attend sales calls and monthly Account Management calls
- Send post-call summaries including notes, decisions, and next steps
- Own post-call follow-up and maintain deal momentum
Deal & Delivery Coordination
- Coordinate signed-deal handoff to delivery/implementation teams
- Ensure all documentation, expectations, and timelines are clearly communicated
- Track deal status through close and onboarding
Events, Travel & Logistics
- Arrange travel for clients, prospects, and networking events (air, train, hotels, rental cars)
- Coordinate events and speaking engagements:
- Book venues, conference rooms, restaurants
- Coordinate catering and logistics
- Submit bios and headshots
- Act as liaison with event and speaking engagement contacts
Sales Enablement & Proposals
- Create sales slides, decks, and one-pagers
- Create and maintain proposals using Smart Pricing Table
- Support the selection and implementation of a new sales proposal system (or help assess HubSpot capabilities)
Sales Process & Documentation
- Document, standardize, and continuously improve sales processes
- Ensure consistency across pipeline stages, handoffs, and follow-ups
HubSpot Ownership (Critical Responsibility)
- Act as the Primary Owner and Resident Expert for HubSpot:
- Add and update contact and company records
- Manage and maintain accurate pipeline data
- Generate prospecting and campaign lists
- Create and run regular sales reports and dashboards
- Create, launch, and track email marketing campaign lists
- Optimize sales workflows and automations
- Manage tagging and data hygiene systems
- Stay up to date on HubSpot feature releases and updates
- Train founders and team members on HubSpot best practices
- Enforce CRM data accuracy and workflow standards
