Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: 

We are seeking a reliable and detail-oriented Remote Operations & Administrative Assistant to support our Melbourne-based water treatment and field service business. The role involves daily monitoring of technician performance dashboards, managing customer enquiries from our website, and overseeing alarms from IoT water treatment controllers at client sites. The ideal candidate is proactive, organised, and comfortable working with data, emails, and digital tools. This is a long-term, full-time remote position working during Australian business hours, with full training provided.

Key Responsibilities:

  • Ensure you understand all service offerings and how each team operates. 

1. Monitoring Field Service Technician Efficiencies 

  • Review field technician performance dashboards daily to track attendance, job completion times, travel times, and productivity metrics. 
  • Identify anomalies, delays, missed jobs, or inefficiencies and flag them for internal review.
  • Prepare a short daily summary report for the Operations Manager highlighting performance insights. 
  • Maintain accuracy of technician data in the dashboard (e.g., updating schedules, job statuses, or technician allocations as required). 
  • Assist in preparing weekly and monthly performance reports for management.
  • Communicate with Service Managers via email or messaging platforms to clarify data discrepancies. 

2. Managing Website Contact Emails 

  • Monitor the company’s website enquiry inbox daily and respond to standard enquiries using approved templates.
  •  Assign enquiries to the appropriate internal team (sales, operations, technical support, or accounts). 
  • Escalate high-priority or urgent customer enquiries to Australian staff promptly. 
  • Maintain a log of all enquiries, categorizing them for reporting and workflow tracking. 
  • Follow up on pending enquiries to ensure timely responses. 
  • Draft polite, professional communications aligned with company brand guidelines. 

3. Managing IoT Water Treatment Controller Alarms 

  • Monitor active alarms from IoT water treatment controllers across client sites in real time.
  • Categorize alarms based on severity (critical, high, medium, low) using company guidelines. 
  • Investigate basic alarm information via the IoT platform and record relevant diagnostic data. 
  • Notify the appropriate field technician or Australian operations team for alarms requiring physical response.
  • Create and maintain an alarms log including timestamps, actions taken, and resolution notes. 
  • Follow up to ensure alarms are resolved within agreed SLA response times. 
  • Assist in preparing periodic reports summarizing alarm trends and recurring issues. 

Additional Responsibilities

  • Provide general administrative support to the operations team.
  • Maintain structured documentation for workflows, processes, and dashboards.
  • Help prepare training materials, SOPs, or dashboard reference guides as needed. 
  • Participate in weekly team meetings to communicate insights or operational issues.

Requirements

Required Skills and Qualifications:

  • Completed at least 2 years of college or vocational training, preferably in business, IT, engineering, communications, or a related field.
  • Bachelor’s degree in Business Administration, Information Technology, Engineering, or similar. 
  • Highly organised, detail-oriented, and comfortable with data-heavy tasks.
  •  Strong written English skills for customer and internal communications. 
  •  Proactive in escalating issues or identifying process improvements. 
  • Ability to work independently and manage daily tasks with minimal supervision. 
  •  Comfortable working in Australian business hours (AEST/AEDT). 

Technical & Tool-Based Requirements 

Ability to work across tools such as: 

  • CRM systems (Salesforce) 
  • IoT monitoring platforms for water treatment systems 
  • Shared inbox tools (e.g., Outlook) • Dashboard platforms (e.g., Power BI) 
  • Strong internet connection and reliable backup connectivity. 
  • Familiarity with basic water treatment terminology (training provided).

This is a remote role that will be set up as an independent contractor engagement.
