About the Role

This role exists to protect technician productivity and reduce front-office overload.

You will act as a dedicated extension of a single franchise location — ensuring calls are answered promptly, schedules remain optimized, CRM systems are accurate, and performance metrics are tracked consistently.

This is not just a call-answering position. You are a central operational support role responsible for customer experience, dispatch coordination, and workflow organization.

You are the operational backbone of the office.

What You’ll Do

Call Handling & Customer Communication

• Answer inbound calls professionally and promptly
• Use approved greetings and scripts
• Schedule service calls and inspections
• Confirm appointments and communicate updates
• Maintain high customer experience standards

Scheduling & Dispatch Coordination

• Compile and manage daily call runs
• Support dispatch coordination and routing
• Fill schedule gaps when cancellations occur
• Notify customers proactively of changes
• Ensure technician utilization remains high

Revenue & Performance Tracking

• Track daily sales averages
• Monitor closing ratios
• Maintain accurate CRM records
• Update operational dashboards
• Support reporting visibility

Membership & Agreement Management

• Track service agreement renewals
• Schedule maintenance appointments
• Follow up with membership clients
• Protect recurring revenue streams

Administrative & Accounting Support

• Assist with invoicing coordination
• Support payment tracking
• Maintain organized digital records
• Assist with reporting and operational tasks

What You Bring

Required Experience

• Experience in customer service, dispatch, or administrative support
• Strong communication and professional phone skills
• Experience working with CRM systems (ServiceTitan or similar field-service CRM preferred)
• Experience using VoIP/cloud-based phone systems
• Google Workspace or Outlook proficiency
• Experience with Slack, Teams, or similar communication platforms
• Comfortable using spreadsheets and basic reporting dashboards
• Strong attention to detail
• Ability to work in fast-paced environments
• Availability to overlap with U.S. business hours

Nice-to-Have (Strong Plus)

• Experience supporting home service businesses (HVAC, plumbing, electrical, etc.)
• Experience with ServiceTitan
• Experience supporting technician dispatch operations
• Familiarity with membership or service agreement programs
