Role Overview

The Record Request Triager plays a crucial role in reviewing, validating, and processing incoming record requests with accuracy and compliance. This role is ideal for candidates with experience in medical record retrieval, HIPAA knowledge, strong PDF handling skills, and a high level of accuracy in fast-paced environments. The successful candidate is detail-obsessed, tech-savvy, proactive, and committed to long-term growth within an agile, collaborative team.

Your Impact:

  • Ensure timely and accurate processing of medical record requests, maintaining compliance with HIPAA and state regulations.
  • Contribute to operational efficiency by identifying errors and standardizing document processing workflows.
  • Maintain high customer satisfaction through professional communication and issue resolution.
  • Recommend process improvements and provide feedback to enhance internal systems and SOPs.

Core Responsibilities

Request Validation & Compliance Review – 40%

  • Review Release of Information (ROI) forms for completeness and regulatory compliance.
  • Verify all required legal and authorization elements are present.
  • Identify invalid, incomplete, or inaccurate requests consistently.

PDF Editing & Document Correction – 30%

  • Edit, correct, and prepare PDFs for submission using Adobe Acrobat.
  • Resolve issues in scanned, illegible, or improperly formatted documents.
  • Ensure standardized formatting across all outbound document packages.

Customer Communication & Issue Escalation – 20%

  • Notify customers of missing, incorrect, or invalid information professionally.
  • Escalate complex issues promptly to ensure timely resolution.
  • Maintain high customer satisfaction while upholding compliance standards.

Process Improvement & System Feedback – 10%

  • Recommend workflow, tooling, and operational improvements proactively.
  • Participate in rapid iteration cycles supported by the company’s tech-forward environment.
  • Collaborate with leadership to refine internal SOPs based on operational insights.

Requirements

Must-Haves (Required)

  • Prior experience in medical record retrieval for legal or healthcare entities.
  • Strong knowledge of HIPAA and state-by-state record request regulations.
  • Advanced proficiency with Adobe Acrobat and complex PDF handling.
  • Excellent written and spoken English communication skills.
  • High attention to detail with proven error detection capabilities.
  • Reliable, focused, and committed to long-term growth.

Nice-to-Haves (Preferred)

  • Experience in HealthTech or legal-tech startup environments.
  • Familiarity with medical terminology or legal case support workflows.
