We have an exciting opportunity for a truly customer-focused individual to join our Front Office team at our Head Office in Milton Park, Oxfordshire!

We are looking for a part-time Receptionist on a permanent basis, to work 30 hours per week from 1pm to 7pm Monday through Friday.

The purpose of the Receptionist role is to provide a professional and personal greeting to internal and external customers visiting the Milton Park office, as well as handling phone calls and e-mails as required.

This role is fully office based, and you must have the right to work in the UK.

What you will be doing:

Reception

  • Greet visitors in a friendly and professional manner.
  • Be the point of contact for information.
  • Assist with large office events/meetings, for example with room set-up or guiding attendees to where they need to go.
  • Assist with meeting room reservations.
  • Sign for courier mail and deliveries received at the Reception Desk.
  • Answer calls and redirect as appropriate.
  • Continually build knowledge of Taylor & Francis and the wider Informa business to help provide good customer service.

Administration

  • Email management/coordination and other forms of messaging.
  • Personal diary management and planning, holidays, expenses, and sickness.
  • Document filing when and as needed.
  • Archive recording / administration.
  • Development/learning and progression within position.
  • Produce access control passes for new starters, and as needed replace passes for existing colleagues.
  • Code invoices for taxi services booked through reception.
  • Assist line manager with correspondence, reports, and data collection when needed.

 

The successful candidate will have the following skills and attributes:

  • Prior experience in a front of house or administrative role is preferred.
  • Excellent telephone manner and the confidence to approach people in a variety of different situations.
  • The ability to stay professional, friendly and be the key point of contact for internal and external customers.
  • Flexibility in role and ability to take on a range of tasks which may seem unrelated to position.
  • Ability to be reactive and resourceful in difficult situations and apply practicality to problem solve and find realistic solutions.
  • Diplomatic in handling sensitive information and managing outcomes.
  • Strong organisational skills.
  • Professional manner.
  • Good investigative skills to support role and initiative to resolve issues at hand.
  • Ability to anticipate problems or issues in advance and make contingencies to avoid difficult situations.
  • Strong literacy skills relevant to role.
  • Resourcefulness in setting up new systems and processes to assist work and team.
  • Proficiency with Outlook would be desirable.

 

Location: This role is based in our Milton Park, Oxfordshire office 5 days a week. Free on site parking is available.
