Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: This role is a core support position dedicated solely to the client’s operations. The Admin Assistant / Client Support VA will support the Director and Customer Care Manager across sales administration, client communication, phone handling, and general operational support. This is not a basic admin or message-taking role. The client is looking for someone who can think independently, take ownership of tasks, and proactively resolve issues rather than simply escalating everything to others. The role suits someone who is confident on the phone, organised, solutions-focused, and comfortable working in a fast-paced environment where priorities can shift.

Key Responsibilities: 

Client & Communication Support

  • Handle incoming calls and respond to buyer and seller enquiries via phone, email, and WhatsApp
  • Resolve routine enquiries independently and escalate issues with clear context
  • Provide phone and inbox coverage during leave periods
  • Draft professional client communications and follow-ups

CRM & Database Management

  • Maintain accurate CRM records for buyers, sellers, and investors
  • Upload enquiry data from home opens and online portals
  • Update statuses, notes, compliance fields, and internal trackers

Appraisal & CMA Support (Leave Cover Only)

  • Prepare CMAs and appraisal documentation when required during EA leave
  • Schedule appraisal appointments and manage reminders
  • Track appraisal outcomes and follow up as needed during cover periods

Listing & Marketing Administration

  • Prepare listing authorities and documentation
  • Upload approved listings to CRM and advertising portals
  • Coordinate photography, videography, floor plans, signage, and marketing collateral
  • Manage approvals and requests with the Director

Transaction & Offer Support

  • Prepare offer documentation and contracts
  • Coordinate inspections, valuations, and access
  • Liaise with buyers, sellers, settlement agents, brokers, and inspectors
  • Track key milestones from acceptance through settlement

Campaign, Home Open & Post-Settlement Support

  • Schedule home opens and prepare brochures and signage
  • Manage lockboxes and campaign materials
  • Send settlement communications, organise gifts, and maintain referral and anniversary records
  • Conduct post-settlement check-ins

Internal Administration

  • Attend weekly meetings and record action items
  • Assist with compliance follow-ups, invoices, and general admin tasks
