We are seeking a Qualitative Project Manager to oversee the operational execution of qualitative research projects from kickoff through completion. The ideal candidate brings strong experience in participant recruitment, scheduling, and quality control, with exceptional attention to detail and the ability to manage multiple studies and timelines simultaneously.
Duties and Responsibilities
- Manage end-to-end operational execution of qualitative market research projects, including one-on-one interviews and focus groups, from kickoff through completion
- Execute participant screening and qualification in accordance with approved screeners, study criteria, and client requirements
- Coordinate and manage scheduling of research participants, moderators, clients, and internal stakeholders across multiple time zones
- Serve as the primary point of contact for participants throughout the recruitment and scheduling process, ensuring a professional and positive experience
- Maintain accurate, complete, and timely documentation across all project phases, including participant records, schedules, consent forms, and study trackers
- Monitor quotas, attendance, and show rates; proactively identify risks and implement mitigation strategies (e.g., over-recruiting, reminders, backup participants)
- Conduct quality checks to confirm participant eligibility, data accuracy, and compliance with study requirements prior to sessions
- Manage participant communications, including confirmations, reminders, reschedules, cancellations, and follow-ups
- Track project timelines, milestones, and deliverables; escalate issues and risks as needed
- Support incentive fulfillment processes and verify accurate documentation related to participant payments
- Test screeners/surveys for quality, compliance, and best practices.
Requirements
- 2+ years of experience in market research operations, project management, participant recruitment, or research coordination (qualitative experience strongly preferred)
- Proven experience screening, recruiting, and scheduling research participants for one-on-one interviews and/or focus groups
- Strong understanding of qualitative research methodologies and participant management best practices
- Demonstrated ability to follow and execute against Standard Operating Procedures (SOPs) with high accuracy and consistency
- Exceptional attention to detail, particularly in documentation, participant records, and scheduling logistics
- Strong organizational and time-management skills, with the ability to manage multiple projects and competing deadlines simultaneously
- Excellent written and verbal communication skills, with the ability to interact professionally with participants, clients, and internal stakeholders
- Comfort working with research platforms, CRMs, participant panels, scheduling tools, and spreadsheets (e.g., Excel, Google Sheets, or equivalent tools)
- Technical understanding of programming and experience in using survey platforms - preferably Alchemer or Qualtrics. (Nice to have)
- Proficiency in Excel, Word, and Outlook is required.
