Through meticulous organization, strict adherence to internal controls, and close collaboration with departments, you will ensure that every product entering and circulating within the hotel meets the highest standards.

This role is an invitation to uphold the foundation of exceptional hospitality. As a Purchasing Clerk at Auberge Collection, you will ensure that every item — from fine wines to essential operating supplies — is received, stored, and distributed with accuracy, care, and accountability.

You will:

  • Verify all incoming goods against delivery orders, invoices, food specifications, and purchase records to ensure accuracy in type, quantity, price, and quality.

  • Issue, store, price, and rotate all incoming goods while maintaining optimal stock balance and proper inventory levels.

  • Maintain clear labeling of storeroom items, including minimum and maximum levels, to facilitate efficient reordering and stock rotation.

  • Ensure all goods received are stored promptly in their designated areas, following proper food safety standards, including date marking and correct color-coded storage procedures.

  • Safeguard storerooms and loading dock areas, ensuring they remain secure, clean, organized, and locked when unattended.

  • Process and fulfill store requisitions in a timely manner, ensuring all requests are properly authorized and acknowledged.

  • Price Food & Beverage requisitions and transfers accurately and maintain perpetual inventory records for liquor and wine.

  • Complete daily, weekly, monthly, quarterly, and annual inventories for food, beverage, groceries, sundries, and operating equipment.

  • Coordinate closely with the Receiving team to ensure a seamless transition of goods from delivery to storage.

  • Replenish stock as required and prepare Purchase Orders for Purchasing Manager approval in accordance with established procedures.

  • Handle the physical movement of goods, including loading and unloading carts, ensuring proper placement in storerooms.

  • Ensure all local and corporate policies, internal controls, procedures, and safeguards related to the Purchasing Department are strictly followed.

  • Maintain accurate documentation, including after-hours issues, in full compliance with internal control standards.

  • Clear understanding of internal controls and the importance of compliance within a luxury hospitality environment.

  • Strong knowledge of hotel quality and service standards, with cross-training in kitchen operations and food product quality considered an asset.

  • Exceptional organizational skills with the ability to manage multiple inventory streams accurately and efficiently.

  • Strong interpersonal skills to collaborate effectively with cross-functional teams, department leaders, and vendor delivery personnel.

  • Practical problem-solving abilities within the scope of purchasing and inventory responsibilities.

  • Commitment to working in a safe, prudent, and highly organized manner at all times.
