We are currently hiring for a full-time Proposal Coordinator. The Proposal Coordinator is a member of the Marketing team and reports to the Proposal Manager. This position is focused on supporting competitive pursuits, updating and maintaining company collateral and other marketing materials, supporting the company’s Customer Relationship Management (CRM) database (Deltek Vantagepoint), and supporting staff with other marketing requests.
The position is 100% remote. To be considered for this role, candidates must reside in California, Oregon, Colorado, or Arizona. Being located near Sacramento or the San Francisco Bay Area is a plus.
In this role, you will:
Focus primarily on preparing competitive proposals/SOQs (supporting the Proposal Manager for proposals as a prime consultant and leading those where WRA is a subconsultant) using Adobe InDesign and Microsoft Word.
Lead and/or support competitive pursuits in a variety of market sectors, service lines, and geographies in California.
Assist with updates and maintenance of materials, including project data sheets, resumes, market/service line descriptions, and other proposal and marketing content.
Assist with data entry and updates in CRM system using Deltek Vantagepoint, Open Asset, and Asana.
Work collaboratively with your distributed colleagues using tools such as Zoom, Slack, Asana, file sharing (Egnyte).
Participate in professional organizations (i.e. SMPS) for professional development.
To be successful in this role, you will need:
Minimum 1 year of professional experience preparing proposals in the Architecture/Engineering/Construction (A/E/C) industry; specific experience in the environmental consulting field preferred
Bachelor’s degree in business, marketing, communications, or other related and relevant fields of study
Proficiency in Adobe programs (InDesign, Photoshop, Acrobat)
Proficiency in Microsoft Office (Word, PowerPoint, Excel)
Proficiency working on multiple communication platforms (Zoom, Slack, phone) to build relationships and complete work
The ability to apply AI-enabled tools to support research, RFP analysis, content development, and workflow efficiency, while maintaining quality and accuracy and adhering to company guidelines
Experience working and excelling in a deadline driven environment
The ability to prioritize workload based on daily/weekly requests
The ability to manage multiple projects and assignments concurrently
To be self-driven in taking initiative and moving projects forward
The ability and willingness to manage expectations and ask follow-up questions or ask for help when needed
The ability and desire to act independently while working with a team effectively
Strong organization, time management, and note-taking skills with attention to detail
Strong verbal and written communication skills, with the ability to write content based on detailed conversations
The ability and willingness to hold project partners accountable for deadlines
The ability to travel occasionally for professional events, team meetings, and company events
WRA has an established internal leveling system for our staff that maps to salary bands that have been informed by market data. Our leveling system is dependent on years of relevant industry experience, education, and the level of responsibility and autonomy at which you’re expected to operate.
*The salary range for this position is $65,000-$80,000 which represents 2 job levels that WRA is open to considering for this role. In your first conversation with our recruiter, we will discuss leveling and compensation with you to make sure that expectations are aligned.
