Role Purpose
Support the day-to-day operations of a growing buyer’s agency by handling admin, coordination, and communication tasks so the lead agent can stay focused on strategy, sourcing, and clients.
This is a detail-heavy, execution role. If systems, follow-ups, and keeping plates spinning is your thing — you’ll thrive here.
Key Responsibilities
Administration & Operations
- Managing and organising invoicing
- General CRM administration and data upkeep
- Building & Pest (B&P) administration
- Conveyancer coordination and admin
- Sending exchanged contracts to brokers
- Managing emails and inbox triage
- Organising and sending client merch packs
Transaction & Deal Support
- Organising pre-settlement inspections
- Requesting and managing rental appraisals
- Liaising with property managers
- Coordinating communication with trades
- Supporting post-exchange and pre-settlement processes
Client & Stakeholder Communication
- Day-to-day client communications
- Liaising with agents when required
- Managing ongoing deal-related correspondence
- Acting as a professional point of contact across transactions
Scheduling & Logistics
- Calendar management
- Coordinating travel arrangements
- Keeping key dates, deadlines, and follow-ups on track
Market & Research Support
- Preparing Comparative Market Analyses (CMA)
- Assisting with admin tasks linked to deal evaluation and reporting

Requirements
- Previous experience in property administration, buyer’s agency support, conveyancing support, or real estate operations
- Strong understanding of Australian property transactions (exchange, settlement, B&P, conveyancing workflows)
- Experience working with CRMs and property-related systems
- Excellent written and verbal English
- High attention to detail and strong organisational skills
- Ability to work independently in a remote environment
- Reliable, high-speed internet connection
