Role Overview

The Project Manager is responsible for driving end-to-end project execution, ensuring timelines, deliverables, data, and stakeholder coordination stay tightly aligned across multiple concurrent initiatives. This role blends hands-on project coordination with operational rigor—owning workflows, trackers, documentation, and communication so that projects move forward smoothly without dropped details.

You will act as the central execution hub, coordinating across teams, maintaining system hygiene, and proactively resolving blockers. This role is ideal for highly organized operators who thrive in fast-paced environments, enjoy managing complexity, and take pride in flawless execution and follow-through.

Your Impact

Your work will ensure projects are delivered on time, on scope, and with clarity. By maintaining clean systems, structured workflows, and proactive communication, you’ll prevent delays, reduce friction, and provide leadership with accurate visibility into progress. Your templates, documentation, and execution discipline will create scalable processes that enable teams to operate more efficiently and consistently.

Core Responsibilities

Project Coordination & Execution — 35%

  • Manage projects from initiation through completion across multiple workstreams
  • Track milestones, timelines, dependencies, and deliverables
  • Follow up on action items and ensure closure
  • Execute pre-project and launch checklists to ensure readiness
  • Monitor project status daily and flag risks or blockers early
  • Ensure smooth handoffs between phases and stakeholders
  • Maintain clear ownership and accountability for tasks
  • Drive projects to completion with minimal supervision

CRM & Data Management — 20%

  • Maintain high-quality CRM hygiene in HubSpot or similar platforms
  • Update records, pipelines, trackers, and project statuses accurately
  • Manage reporting documents, trackers, and dashboards
  • Ensure data accuracy across spreadsheets and systems
  • Clean, deduplicate, and organize records consistently
  • Support leadership with reliable data and reporting

Stakeholder Coordination & Communication — 20%

  • Serve as point of contact for project-related coordination
  • Schedule meetings, manage logistics, and handle follow-ups
  • Maintain professional communication with internal and external stakeholders
  • Prepare agendas, summaries, and project documentation
  • Coordinate vendors and external partners as needed
  • Ensure stakeholders are aligned and informed throughout the project lifecycle

Process Documentation & Template Management — 15%

  • Create and maintain SOPs, checklists, and project templates
  • Build reusable decks, trackers, and documentation
  • QA deliverables before submission or stakeholder review
  • Identify recurring bottlenecks and standardize solutions
  • Maintain organized template libraries and version control
  • Document best practices and lessons learned

Research & Administrative Support — 10%

  • Conduct market, client, or competitive research as needed
  • Prepare reports, briefs, and presentations
  • Support light financial or expense tracking related to projects
  • Assist with proposal development and background research
  • Provide administrative support that ensures project success

Requirements

Must-Haves (Required)

Experience & Execution

  • 3+ years in project management, operations, or coordination roles
  • Proven experience managing multiple projects simultaneously
  • Strong end-to-end execution and follow-through

Organization & Systems

  • Exceptional attention to detail and organizational discipline
  • Strong process-oriented mindset
  • Ability to prevent tasks and details from slipping

Communication

  • Excellent written and verbal English communication

Technical Skills

  • Advanced Google Sheets or Excel proficiency
