WHO YOU ARE
The Project Manager is responsible for leading end-to-end implementation projects—from initial planning through successful go-live—ensuring clients receive a smooth, timely, and well-coordinated onboarding experience. This role works closely with Customer Success Managers (CSMs), internal stakeholders, and client teams to manage project scope, timelines, communication, risk mitigation, and post-implementation transition. The ideal candidate combines strong project management discipline, outstanding communication skills, and the ability to build productive cross-functional relationships.
A DAY IN THE LIFE
Implementation Management
- Lead the full implementation lifecycle, including discovery, requirements gathering, solution design, configuration coordination, testing oversight, and go-live execution.
- Develop detailed project plans, timelines, and milestones tailored to each client’s operational needs and readiness.
- Facilitate project kickoffs, status meetings, requirements sessions, and validation workshops with clients and internal teams.
- Coordinate cross-functional resources such as Technical Services, Product, Revenue Cycle Operations, Training, and Support to ensure timely delivery of project tasks.
- Assess project dependencies and constraints, and rapidly escalate blockers, resource gaps, or schedule risks to leadership and cross-functional teams to safeguard project delivery.
- Ensure all implementation documentation is completed, stored, and communicated appropriately (e.g., project plans, meeting notes, technical requirements, configuration guides).
- Conduct readiness assessments and lead final go-live planning, ensuring clients are operationally prepared and aligned on next steps.
- Maintain a thorough knowledge of product functionality and best practices for usage and configuration.
Collaboration With Customer Success Managers and Customer Support
- Partner closely with CSMs and Support to ensure a seamless transition from implementation to ongoing account management.
- Provide CSMs and Support with project insights, operational nuances, and client-specific needs that will impact long-term relationship success.
- Communicate project status, risks, dependencies, and escalation points to CSMs and support regularly.
- Collaborate with CSMs and Support regarding client expectations, training needs, workflow adjustments, and change management planning.
- Participate in client meetings alongside CSMs and support when strategic or complex project alignment is required.
Client Relationship & Communication
- Serve as the primary point of contact for clients during the implementation process.
- Establish trust with client stakeholders by delivering clear communication, timely updates, and proactive solutions.
- Manage client expectations regarding scope, timeline, resource availability, and project responsibilities.
- Translate technical concepts into clear business language for client stakeholders.
- Address escalations and provide structured resolution paths.
Project Governance & Reporting
- Maintain accurate and up-to-date project tracking, status reports, action logs, decision logs, and risk registers.
- Provide internal leadership with regular KPI updates on project health, timelines, and resource utilization.
- Ensure implementations adhere to organizational standards, methodologies, and best practices.
- Contribute to continuous improvement initiatives in project management processes, documentation templates, and implementation playbooks.

Requirements
- Bachelor’s degree or at least 3 to 5 years’ of project management experience, preferably in software, healthcare technology, RCM, or professional services environments.
- Strong understanding of implementation processes, change management, and cross-departmental coordination.
- Excellent communication, facilitation, and client-facing skills.
- Proficiency in project management software tools (e.g., Jira, Asana, Smartsheet, or similar) and fluency in all MS Office tools and applications.
- Experience in healthcare systems, EHR/PM platforms, payment workflow solutions, or RCM implementations.
- Ability to manage multiple concurrent projects with tight timelines.
- Skilled at-risk identification, critical thinking, and structured problem-solving.
- High level of professionalism, composure, and accountability.
- Experience working closely with Customer Success, Support, Operations, Technical, and Leadership teams.
PREFERRED QUALIFICATIONS
- PMP, CAPM, CSM, or other project management certification preferred.
- Familiarity with SaaS product environments and API-based integrations.
- Experience establishing or managing risk-escalation frameworks and mitigation plans within complex implementation projects.
- Working knowledge of data migration processes, system configuration, or interface/integration management.
WORK ENVIRONMENT & EXPECTATIONS
- Ability to work cross-functionally in a fast-paced, deadline-driven environment.
- Comfortable managing remote meetings, workshops, and trainings with diverse client teams.
- Occasional travel for onsite client engagements or major project milestones (if applicable).
