We are seeking a dynamic and detail-oriented Project Manager for Small Migrations to join our team. In this role, you will play a pivotal part in ensuring the successful execution of migration projects. You will be responsible for managing and coordinating all aspects of the migration process, from project planning and team collaboration to communication with the customer and addressing potential risks. If you are an organized, proactive, and effective communicator, this role is perfect for you. Please note, this role requires flexibility in schedule, and you may need to coordinate with various teams for maintenance activities and be available during the maintenance to oversee the cutovers. This role requires an End-to-end ownership and accountability.
Key Responsibilities:
Project Planning and Milestone Management:
Utilize project management tools such as JIRA or a similar platform to outline project milestones, tasks, and deliverables.
Develop a comprehensive project plan that details the scope of work, timelines, and resource allocation.
Team and Resource Coordination:
Identify and collaborate with various teams, queues, or individuals who are integral to the project's execution.
Ensure effective communication and coordination between internal teams and external partners.
Maintenance Planning:
Coordinate with our Global Technical Operations (GTO) team to plan and execute any required maintenance activities during the migration.
Customer Communication:
Communicate the tentative project timeline, tasks, and estimated costs to the customer.
Regularly update the customer on project progress and key milestones.
Risk Management and Change Orders:
Identify and communicate any risks to the project's successful execution.
Promptly inform the customer of any changes in scope or additional requirements that may necessitate a change order.
Internal Kickoff Meeting:
Conduct internal kickoff meetings with GTO Engineers, Pre-sales, and Customer Success Managers (CSMs) to understand project scope and draft the project plan outline.
External Kickoff Meeting:
Organize external kickoff meetings with the customer, GTO Engineers, Pre-sales, and CSMs to enhance the project plan.
Define communication frequencies, identify billing milestones, and establish success criteria.
Document and obtain customer sign-off on project plans, or use standard communication templates to facilitate the sign-off process.
Ticket and Task Management:
Set up project tickets, JIRA tasks, or other relevant task management tools as required for effective project tracking and reporting.
Review project tickets to ensure that all executed tasks are adequately logged, and hours are correctly recorded.
Collaborate with the project team to address any discrepancies or missing information.
Billable Hours Processing:
Process billable hours in the CORE/EnCore/Raptor or any new system where the process changes.
Billing Notification and Validation:
Notify the Customer Success Manager (CSM) when billing has been initiated.
Collaborate with the CSM to validate that the bill appears on the customer's invoice correctly, ensuring accuracy and transparency in billing processes.
Experience
Project management/coordination, or ITIL Service transition roles – 5-7 years
A technical certification will be preferred (CCNA/VMWare etc.)
PMP or PRINCE2 certification is a plus.
Experience with migration projects is mandatory.
Familiarity with IT infrastructure and technical environment is a mandate.
Understanding of a private cloud is highly desirable.
