The Opportunity

We're looking for a highly organized and detail-oriented Project Coordinator to support our Customer Success and Professional Services teams. You'll be the operational backbone that keeps our project and ticket workflows running smoothly, working closely with our Project Managers to coordinate estimates, scheduling, documentation, and client communications, and supports CS and PS leadership in a variety of areas including supporting the Chief Customer Officer with operational reporting, timesheet management and assessment, CRM data hygiene management, and other operational task.

What You’ll Do

Estimate Coordination

  • Monitor incoming customer tickets and project requests across multiple clients
  • Extract key information from tickets and format them according to our Slack workflow templates
  • Coordinate with Technical Leads to obtain effort estimates for customer work
  • Facilitate back-and-forth between PMs and Technical Leads to refine estimates
  • Track estimate status and ensure timely turnaround
  • Support PMs in communicating estimates to clients



Meeting & Documentation Support

  • Schedule client and internal team meetings across time zones
  • Attend meetings and capture clear, organized notes
  • Maintain and update client Confluence pages with current project information
  • Ensure project documentation stays accurate and accessible



General Coordination

  • Support both Project Managers across their respective client portfolios
  • Help manage workflows in Asana, Zendesk, and Everhour
  • Identify process improvements as you learn our workflows
  • Adapt to evolving responsibilities as we automate parts of this workflow



Services Operations

  • Prepare weekly and monthly operational reports tracking key metrics 
  • Monitor daily timesheet submissions in Everhour, following up with team members on missing or incomplete entries
  • Ensure accuracy and completeness of client records in Hubspot CRM

 

What We’re Looking For

Required

  • 1-3 years of professional experience in a business environment
  • Bachelor's degree or equivalent experience
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication in English
  • Comfortable working with multiple tools and systems (we use Slack, Asana, Confluence, Zendesk, Everhour, MS Office)
  • Self-directed and able to manage multiple tasks without close supervision
  • Reliable internet connection and home office setup for remote work
  • Ability to overlap with Eastern Time, North American-based team
