As a Project Coordinator, you’ll support projects from initiation through completion, learning how to manage timelines, budgets, and deliverables while ensuring quality standards are met. You’ll assist in driving workflows, help maintain clear communication across teams, and keep project details organized. Core Responsibilities
- Support day-to-day project activities on assigned accounts (timelines, status reports, hot sheets, project routing) with a collaborative mindset
- Collaborate with team members to maintain open communication and learn how to anticipate challenges and contribute to solutions
- Assist with Workfront tasks, including project setup, tracking and reporting while building familiarity with project setup (planned hours) and processes
- Supports programs totaling $1M-$2M. Upon growth in role, may manage up to $1M-$1.5M with oversight.
- Note: Up to 50% of time may be spent on administrative support and duties though expectations can vary based on needs to be aligned upon with manager.
- Support budget tracking and reporting, partnering with seasoned PM team members, Account and Finance to ensure accuracy and profitability.
- Engage in mentorship and training opportunities to develop operational and cross departmental knowledge, strengthen collaboration skills, and grow as a project management professional

Project Coordination
- Assist in scheduling and facilitating internal status and project kickoff meetings
- Deliver proactive updates on timelines and resourcing, under guidance, while developing the ability to anticipate needs and contribute to solutions
- Learn and maintain familiarity with agency framework, clients, and regulatory processes
- Help navigate workflow challenges by collaborating with team members to maintain operational efficiency and accountability
- Encourage candid communication during project planning and execution, building collaboration and trust
- Learn how to identify, assess, and mitigate project risks by observing plans and proactive escalation of issues by seasoned PM team members. Learn what critical questions to ask, proper alternatives, and possible solutions
Career & Relationship Development
- Participate in onboarding and training sessions to learn agency processes, systems, and best practices for project management
- Engage in mentorship opportunities with senior team members to build foundational skills and confidence in managing projects
- Collaborate with peers and cross-functional teams to understand workflows and contribute to a positive, team-first environment
- Engage in mentorship and training to build PM craft and tool proficiency
Qualifications:
Required Education:
- Bachelor’s degree in marketing, communications, advertising, or similar field is preferred
Experience:
- 1 plus years of experience in a professional environment, preferred
- Healthcare, Pharmaceutical or related Life Sciences experience a plus
Skills:
- Experience in Microsoft Office Suite and Mac operating system
