Project Coordinator - Consumer Products

Location: On-Site — Santa Ana, CA (this is not a hybrid or remote role)

Compensation: $50,000 – $65,000

The Role

We’re looking for a Product Development Coordinator to be the operational backbone of our product pipeline. You’ll be the person who keeps everything moving — tracking projects, coordinating across teams, preparing leadership with the information they need, and making sure nothing falls through the cracks.

Let’s be upfront: This is a coordination and execution role, not a strategy or product management role. You won’t be deciding what products we build. You’ll be the reason they actually get built on time. If you’re someone who thrives on organization, follow-through, and keeping multiple plates spinning — this is your seat.

You’ll report directly to the CEO and work across all three brands from day one. That means real visibility into how a multi-brand CPG company operates — sourcing, design, packaging, vendor management, compliance, marketplace strategy — all of it.

What You'll Do Everyday:

Keep the Product Pipeline Moving

  • Maintain our product pipeline in ClickUp — Kanban boards, project lists, status updates, and timelines across all active products
  • Track all active projects and make sure deliverables stay on schedule
  • Surface blockers early, flag slippage before it becomes a fire, and keep cross-functional teams aligned
  • Own the accuracy of project documentation — if it’s in the system, it’s correct and current

Run the Weekly Product Meeting

  • Prepare and maintain presentations for weekly product development meetings
  • Make sure decision-makers have what they need to make calls — not scrambling for data in the room
  • Distribute meeting notes, action items, and follow-ups. Everyone knows what they owe and when.

Coordinate Vendors & RFQs

  • Track RFQ processes: monitor quote status, organize vendor responses, maintain comparison documents
  • Coordinate with the sourcing team on samples, pricing, and timelines
  • Maintain vendor communication logs and track progress across SKUs
  • Support compliance documentation and product testing requirements

Gather Research & Information

  • Compile competitive research — pricing, features, positioning, packaging
  • Organize market data and findings so leadership can make product decisions faster
  • Maintain organized files of benchmarks, specs, and reference materials

Be the Communication Hub

  • Coordinate with designers on packaging and creative asset timelines
  • Work with external partners and vendors to keep deliverables on track
  • Follow up relentlessly — you are the person who makes sure things get done

Requirements

YOU'RE A FIT IF

  • You speak mandarin
  • You have 1–3 years of experience in product coordination, project coordination, operations, or a similar support role
  • You’ve worked at (or want to work at) a consumer products, CPG, eCommerce, DTC, or Amazon brand
  • You’ve used project management tools daily — ClickUp, Asana, Monday.com, Trello, or similar
  • You’re the person who keeps track of everything. People come to you because you always know where things stand.
  • You communicate clearly in writing and in person — no one has to decode your emails or chase you for updates
  • You’ve coordinated across multiple teams or departments before (sourcing, design, marketing, external vendors)
  • You have high attention to detail — typos in a presentation make you twitch, and a messy project board keeps you up at night
  • You’re comfortable tracking vendor timelines, organizing RFQ responses, or managing sample shipments

BONUS POINTS (NOT REQUIRED)

  • Experience specifically in consumer product development or sourcing workflows
  • Familiarity with compliance or regulatory documentation (FDA, FTC, etc.)
  • Experience working with overseas manufacturers or vendors
  • Knowledge of PIM systems or product information management
  • Previous experience at a brand incubator, Amazon aggregator, or multi-brand portfolio company

THIS ROLE IS NOT FOR YOU IF

  • You want to own the product roadmap, define what we build, or lead product strategy — this is not a Product Manager role
  • You have 5+ years of experience and are looking for a senior or management-level position
  • You’d rather be “thinking big” than managing details — this role IS the details
  • You’re looking for a remote or hybrid position — this is fully on-site in Santa Ana, CA
  • You get frustrated when you’re not the decision-maker — this role supports decisions, it doesn’t make them
  • You’re coming from software product management and expect to write user stories or run sprints — this is physical product development
